Full job description

The Training Coordinator III is a senior-level training role responsible for advanced training program development, cross-functional project leadership, company-wide and multi-facility training coordination, LMS/QMS administration, training design, facilitation, audit readiness, and continuous improvement support. This role supports regulated and client-driven training requirements, including Title 21 CFR and cGMP expectations, and develops practical training materials, job aids, SOPs, checklists, training matrices, workshops, and learning resources to improve employee competency, compliance, productivity, and training consistency across sites.

Key Outcomes Expected 

  • Perform all responsibilities for training coordination, LMS/QMS management, training record integrity, compliance tracking, scheduling, onboarding logistics, OJT verification, audit support, reporting, and equipment certification tracking.
  • Serve as a senior resource for site-level training questions, record interpretation, training assignment logic, system reporting, and documentation expectations.
  • Support complex training-related investigations, corrective actions, change controls, customer requests, client audit responses, and regulatory readiness activities as assigned.

Company-Wide and Multi-Facility Project Support

  • Lead or support company-wide and multi-facility training initiatives, including standardized training matrices, onboarding programs, train-the-trainer programs, system transitions, new process rollouts, and client-specific training implementations.
  • Coordinate training project timelines, stakeholder responsibilities, deliverables, progress tracking, and implementation readiness across multiple sites or departments.
  • Partner with Corporate Quality, Operations, IT, Human Resources, and site leadership to ensure training plans are practical, scalable, compliant, and aligned with operational needs.
  • Identify site-to-site training process variation and recommend standardization opportunities.

Training Design, Technical Writing, and Learning Resources

  • Design, develop, and revise training materials, workshops, job aids, resource guides, checklists, SOPs, work instructions, training guides, and role-based learning resources.
  • Translate procedural, operational, regulatory, quality, safety, and client requirements into clear learning content for associates, supervisors, and leaders.
  • Develop or support virtual and in-person training sessions, leadership development content, soft skills workshops, compliance modules, and operational process training.
  • Partner with subject matter experts to ensure training content is accurate, current, practical, and aligned with approved procedures.
  • Collect feedback through surveys, evaluations, audit observations, and stakeholder input to improve training materials and delivery methods.

Training Needs Assessment and Gap Analysis

  • Conduct training needs assessments and training gap analyses for current staff, new processes, revised procedures, client requirements, audit observations, deviations, corrective actions, and change controls.
  • Analyze training completion data, productivity indicators, audit results, feedback, and operational performance data to identify training risks and improvement opportunities.
  • Develop training remediation plans and effectiveness measures when training is used as a corrective or preventive action.

LMS/QMS Administration and Optimization

  • Support course configuration, training matrix logic, reporting templates, and data integrity practices within the training system of record.
  • Develop leadership reports and dashboards that support visibility to overdue training, upcoming expirations, training gaps, training effectiveness, onboarding progress, and compliance readiness.
  • Partner with system owners or administrators during LMS/QMS enhancements, module implementations, or system migration activities to ensure training requirements are captured and tested.
  • Recommend improvements to training system workflows, training assignments, report structure, and administrative controls.

Leadership, Coaching, and Train-the-Trainer Support

  • Provide functional guidance, mentoring, and coaching to site trainers, designated trainers, supervisors, and training contacts regarding training documentation, OJT expectations, and facilitation practices.
  • Support development and maintenance of train-the-trainer programs, trainer checklists, trainer qualifications, and trainer evaluation tools.
  • Facilitate training sessions for associates, supervisors, managers, or cross-functional project teams as needed.
  • Coach employees and supervisors on training compliance, documentation quality, process consistency, and performance improvement expectations.
  • Support leadership development and communication workshops as assigned.

Audit, Regulatory, and Continuous Improvement Support

  • Prepare, review, and present training documentation for internal audits, client audits, OSHA inspections, and regulatory reviews.
  • Support compliance with applicable FDA, CFR, OSHA, safety, HazMat, transportation, and client-specific training requirements.
  • Conduct training documentation self-inspections, SOP audits, training record audits, or readiness assessments to identify gaps before audits occur.
  • Partner with Operations and Quality leadership to align training initiatives with operational priorities, KPIs, productivity goals, and compliance requirements.
  • Support continuous improvement projects by identifying training barriers, standardizing materials, improving onboarding, and reducing process variation.
  • Promote a culture of accountability, competency, compliance, safety, and continuous learning.


Critical Skills and Knowledge 

  • Advanced knowledge of training program design, facilitation, onboarding, leadership development, compliance training, LMS administration, and training reporting.
  • Strong technical writing capability for SOPs, work instructions, job aids, checklists, training guides, audit tools, and resource materials.
  • Demonstrated ability to manage company-wide or multi-facility training projects and align training deliverables with operational and quality objectives.
  • Advanced Excel, Microsoft Office, reporting, data analysis, and dashboard development skills.
  • Knowledge of Title 21 CFR, cGMP training expectations, quality system documentation, training record controls, and audit-readiness practices.
  • Experience with warehouse, logistics, distribution, pharmaceutical, regulated, or safety-sensitive training environments.
  • Ability to lead stakeholders through change, communicate effectively with all levels of the organization, and influence without direct authority.
  • Strong problem-solving, critical thinking, prioritization, follow-up, decision-making, and project management skills.
  • Ability to develop practical, role-based learning solutions for associates, supervisors, managers, and cross-functional teams.
  • Ability to coach, mentor, and support designated trainers, SMEs, site training contacts, and supervisors.


Education and Experience

  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • 5+ years of progressive training, learning and development, training coordinator, training specialist, training analyst, audit coordinator, operations leadership, or related experience preferred.
  • Experience administering LMS/QMS platforms, assigning and configuring courses, monitoring completion, and reporting training status to leadership preferred.
  • Experience facilitating compliance training, including Title 21 CFR, cGMP, safety, or other regulated training requirements preferred.
  • Experience developing training materials, job aids, SOPs, checklists, resource guides, workshops, or role-based learning content preferred.
  • Experience with multi-facility, company-wide, continuous improvement, operational, quality, or system implementation projects preferred.
  • Prior operations leadership, supervisor, coaching, mentoring, or KPI-driven performance improvement experience preferred.
  • PIT trainer experience, 49 CFR Limited Quantity, HazMat, OSHA, or similar safety/transportation certifications preferred where applicable.


Physical Demands and Work Environment: Must be able to work proficiently with computers, LMS/QMS systems, office equipment, training tools, scanners, tablets, and classroom technology. Position may require walking warehouse areas, supporting classroom setup, participating in audits, and engaging employees across shifts or facilities. Work is performed in an office environment and on warehouse floors with varying temperatures. This role may require coordination with multiple facilities, shifts, departments, corporate stakeholders, and project teams. Occasional travel or remote support for other facilities may be required based on business need.
