Job Title: Assistant, Creative Synch

The Role

The Creative Synch team is looking for an Assistant to provide high-level administrative and operational support to the New York team, ensuring smooth day-to-day workflow, accurate tracking of pitches and assets, and effective coordination across internal teams and external partners.

What You’ll Do
  • You provide day-to-day administrative support to the New York Creative Synch team, including managing calendars, coordinating meetings, and supporting team scheduling.
  • You take, organise, and distribute meeting notes when required.
  • You support the management, organisation, and delivery of audio assets, ensuring internal and external requests are completed accurately and on time.
  • You organise and maintain global team assets, shared resources, and the synch contacts database.
  • You help monitor tour schedules and support event invitations, ticketing, and RSVPs for assigned markets.
  • You assist with the creation and distribution of Creative Synch newsletters and digital communications.
  • You pull data reports and writer information from internal systems when required.
  • You help maintain accurate records of synch pitches, submissions, and deals in Kobalt’s internal database.
  • You prepare and submit expense reports for senior Creative Synch executives in a timely and accurate manner.
  • You provide general operational and administrative support to senior members of the Creative Synch team.
What You’ll BringPreferred:
  • Administrative experience preferred, ideally supporting and/or working closely with senior-level executives.
  • Music industry experience preferred, with working knowledge of the recorded music and/or music publishing business.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel, and Google Workspace.
  • Highly organised with strong attention to detail and the ability to manage multiple priorities simultaneously.
  • Proactive, collaborative, and resourceful, with sound judgement and professionalism.
  • Strong written and verbal communication skills.
  • Comfortable working in a fast-paced, high-volume, and evolving environment.
  • Ability to maintain a high level of confidentiality.
Additional Skills That Could Add Value:
  • Experience with Photoshop, Canva, or iMovie.
  • Experience supporting a creative, music, entertainment, or media team.
  • An interest in music publishing, synchronisation, and creative licensing.

What Success Looks LikeBy Month 3: Foundational Knowledge of Daily Workflows and Internal Systems

You’ll have developed a good understanding of the Creative Synch team’s workflows, internal systems, and day-to-day priorities. You’ll be confidently supporting scheduling, meeting coordination, asset organisation, expenses, and the accurate tracking of pitches and submissions.

By Month 6: Proactive and Integrated Within the Creative Synch Team

You’ll be independently managing your core administrative responsibilities and proactively supporting the New York Creative Synch team. You’ll have built strong relationships across the team and become a reliable point of contact for scheduling, assets, reporting, and general operational support.

By Year 1: Strategic Support and Growth Ready

You’ll be a trusted member of the Creative Synch team, providing consistent and well-organised support across a range of activities. You’ll confidently manage competing priorities, contribute to improvements in team processes, and be ready to take on broader responsibilities as your knowledge and experience grow.
