About the Role

Kinetic Custom Trailers is seeking a friendly, organized, and proactive Office Administrator & Receptionist to become the face of our Penticton office.

This role is responsible for ensuring the front office operates smoothly by welcoming visitors, managing incoming communications, supporting administrative functions, and helping maintain a professional and organized workplace. You'll work closely with multiple departments, providing day-to-day administrative support while ensuring employees, customers, suppliers, and guests receive outstanding service.

Key Responsibilities

Front Desk & Customer Service

• Greet visitors, customers, suppliers, and applicants in a friendly and professional manner
• Answer, screen, and direct incoming phone calls
• Receive and distribute mail, courier packages, and deliveries
• Coordinate visitor sign-in procedures and notify employees of arriving guests
• Maintain a clean, organized, and welcoming reception area

Administrative Support

• File physical and electronic documents accurately
• Prepare, scan, photocopy, and organize company documents
• Assist with data entry and maintaining company records
• Support scheduling of meetings and conference rooms
• Assist departments with various administrative projects as required
• Coordinate incoming and outgoing courier shipments

Office Operations

• Manage office, kitchen, and coffee supplies
• Monitor inventory levels and place supply orders as needed
• Keep common areas, boardrooms, and kitchen spaces stocked and organized
• Assist with office events, employee lunches, and special occasions
• Help ensure office equipment and printers remain operational and stocked

General Administrative Duties

• Assist HR with onboarding paperwork and new employee welcome packages
• Assist Finance with light administrative and bookkeeping tasks
• Help maintain confidential employee and company records
• Perform other administrative duties that support the daily operation of the business

What We're Looking For

• Previous experience in a receptionist, administrative assistant, office coordinator, or customer service role
• Excellent verbal and written communication skills
• Strong organizational skills with exceptional attention to detail
• Professional, friendly, and approachable demeanor
• Ability to prioritize multiple tasks and adapt to changing priorities
• Strong computer skills, including Microsoft Office (Outlook, Word, Excel)
• Comfortable learning new software and internal systems
• Ability to maintain confidentiality and professionalism
• A positive attitude and willingness to help wherever needed

Bonus Qualifications

• Experience working in a manufacturing or industrial environment
• Experience with Microsoft Dynamics Business Central or other ERP systems
• Experience supporting HR, Finance, and Operations teams
• Bookkeeping or Finance experience
