Position: HR Specialist – South Korea
This position is mainly responsible for payroll operations support, payroll data validation, HR administration, and employee lifecycle support for local employees in South Korea. The role supports payroll processing, employee data management, HR compliance, attendance and leave administration, onboarding and offboarding processes, and employee inquiries related to HR operations.
The position also supports HR operational processes in compliance with Korean labor laws and local regulations, including payroll, employment-related administration, and workplace policies. In addition, the role supports employee welfare fund operations, labor-management council administration, HR documentation management, and other day-to-day HR operational activities to ensure efficient and compliant HR operations in Korea.
Key Job Responsibilities
Payroll Management
Payroll Coordination & Validation:
Coordinate monthly payroll input data with the external payroll vendor, including new hires, terminations, employee transfers, leave of absence, overtime payments, salary adjustments, allowances, and other compensation-related changes.
Review and validate payroll results prepared by the payroll vendor, including salary payment files, payroll reports, tax and social insurance data, and related supporting documents to ensure accuracy and compliance.
Verify net payment amounts prior to bank transfer processing and complete internal payroll posting approval procedures in accordance with company policies and timelines.
Support payroll-related inquiries and coordinate with internal stakeholders and external payroll vendors to ensure accurate and timely payroll processing.
Coordinate with the external payroll vendor regarding payroll tax filings, social insurance administration, and statutory reporting requirements in Korea.
Review tax payment data, insurance contributions, and supporting receipts prepared by the vendor to ensure consistency and accuracy before internal approval and payment processing.
Prepare and process internal payment request documentation and supporting vouchers related to payroll tax and insurance payments in coordination with Accounting and GBS teams.
Maintain payroll-related compliance documentation and support audit requirements as needed.
Compensation Accrual & Payroll Data Management:
Review and validate payroll-related accrual data provided by the payroll vendor, including incentive accruals, annual leave accruals, severance accruals, and collective bargaining-related bonus provisions.
Coordinate compensation-related updates including salary increases, incentive target changes, budgets and achievement rate adjustments for payroll processing and accrual calculations.
HR Operation
Employee Lifecycle & HR Administration:
Support onboarding, offboarding, employee transfer, leave of absence, and other employee lifecycle processes for local employees in compliance with Korean labor regulations and company policies. Maintain employee records, HR documentation, and personnel data within HR systems to ensure accuracy and proper administration.
Attendance and Personnel Management: Manage attendance and leave administration processes, including overtime, annual leave, long term sick leave, and other leave types in accordance with company policies and local regulations. Maintain and update employee information and HR system records to ensure accurate personnel data management.
Employee Relations & HR Compliance Support:
Respond to employee inquiries related to HR policies, attendance, payroll, labor regulations, and workplace practices. Support employment rule reporting, legally required training programs, remote work administration, and other HR compliance-related activities. Assist in employee relations matters and support sound labor-management practices in compliance with local regulations.
Welfare Fund & Labor-Management Council Administration:
Support employee welfare fund operations, including family event support, medical check-up support, club activities, tuition support, loan interest support, and related employee welfare programs. Coordinate welfare fund reporting, policy and application form management, governance documentation, articles of association maintenance, and welfare fund operational administration. Support Labor-Management Council and welfare fund meetings, including member administration, meeting coordination, and meeting minutes management.
Compliance & Process Optimization
Monitor updates to Korean labor laws, payroll, social insurance, and tax-related regulations, identify compliance risks, and support HR operational processes in accordance with local legal requirements and company policies.
Maintain and organize HR-related documentation including personnel records, payroll documents, tax and insurance supporting materials, employment-related documentation, and other compliance records to support audit and regulatory requirements.
Support continuous improvement of HR operational processes, payroll administration workflows, and HR systems to enhance operational efficiency and compliance management.
Support additional HR operational and administrative tasks as required and coordinate with headquarters and relevant internal stakeholders on HR-related reporting and operational matters.
Job Requirements
Education
Bachelor's degree or above, with majors in Human Resource Management, Business Administration, Finance, Labor Law and other related majors preferred; having more than 2 years of working experience in human resources and compensation in South Korea
Work Experience
At least two years of working experience in local payroll accounting and as a human resources specialist in South Korea
Familiar with South Korea's four major insurance schemes and individual income tax declaration procedures, with proven experience in independently completing the entire process of payroll accounting and tax declaration.
Language proficiency
Korean
English: Possess basic reading and writing skills, capable of handling English work emails and overseas office systems;
Chinese: Candidates with a basic knowledge of Chinese will be given priority.
Professional Skills
Proficient in the Labor Standards Act of South Korea, skilled in the declaration and payment rules of South Korea's four major insurances, personal income tax and local taxes, and familiar with South Korea's employment compliance requirements
Proficient in using Excel functions and PivotTables, capable of independently preparing payroll ledgers and human resource reports; skilled in operating the HR personnel system and South Korean tax declaration system
Possess basic financial knowledge, be familiar with payroll calculation logic, and be able to accurately troubleshoot abnormalities in payroll and tax data.
