The Position:

We are seeking a highly organized and detailed Contract Administrator to join our team in Spokane, WA. The Contract Administrator supports construction projects by managing subcontract agreements, contract documentation, compliance tracking, and communication between project teams, subcontractors, vendors, and owners. The ideal candidate is organized, detail-oriented, comfortable working in a fast-paced construction environment, with experience managing multiple deadlines across large projects.

  • Support bid preparation, contract setup, subcontractor and vendor onboarding, billing and payment documentation, and front-end project administration.
  • Review, process, organize, and maintain project contracts, subcontracts, change orders, amendments, and related agreements to ensure accuracy, completeness, compliance, and proper document control.
  • Track contract execution, approvals, key milestones, renewals, closeout requirements, and required documentation to ensure deadlines are met and project records remain current.
  • Collect, review, and monitor subcontractor and vendor documentation, including insurance certificates, bonds, W-9s, licenses, lien waivers, certified payrolls, lower-tier subcontractor requirements, and other compliance documents.
  • Identify missing documentation, contract discrepancies, compliance gaps, and potential risk concerns, and coordinate timely resolution with appropriate parties to ensure contracts meet company standards and compliance requirements.
  • Support billing and payment processes by ensuring all required contract documentation is complete, accurate, and aligned with agreements and company procedures, including processing subcontractor draws and issuing payments.
  • Serve as a point of contact for subcontractors, vendors, field teams, project managers, accounting, legal counsel, and ownership representatives regarding contract requirements, documentation needs, deficiency resolution, and compliance support.
  • Prepare regular reports on contract activity, approvals, key metrics, trends, and performance indicators.
  • Support project closeout activities by ensuring final documentation, deliverables, and contract requirements are complete and properly filed.
  • Support internal and external audits related to contracts, compliance, and project documentation.

What We Are Seeking:

  • Must be a team player who takes a “we over me” approach to building and sustaining relationships with others.
  • Must be determined, ambitious, and self-motivated.
  • 2-5 years of experience in construction administration, contract management, or a similar role.
  • Experience with general contracting or commercial construction strongly preferred.
  • Associate’s or Bachelor's degree in Construction Management, Business Administration, or related field preferred; High School diploma or equivalency certificate required.
  • Washington State Notary Public certification preferred; must be able to obtain certification if not currently commissioned.
  • Strong understanding of construction contracts, terminology, and documentation.
  • Excellent organizational and time-management skills.
  • High attention to detail and accuracy.
  • Excellent communication skills; must be proficient in speaking, reading, and writing in English.
  • Proficiency with construction management software preferred (i.e. Sage, Sage Paperless, AIA Contract Software, DocuSign) and Microsoft Office.
  • Valid driver’s license and insured, operable vehicle.

Compensation & Benefits:

  • Competitive $31.00-$41.00 per hour (based on experience).

  • Sitting: 2-7 hours/day.

  • Endurance: light to moderate energy.
  • Manual Dexterity: frequent fine motor skills.
  • Near Vision: minimal near vision.

Environmental and Safety Factors:

  • Weather: work is primarily indoors in a temperature-controlled office environment with occasional exposure to outdoor weather conditions, including uneven and slippery surfaces.
  • Noise: frequent exposure to typical office environment noise levels including conversational voice levels; infrequent exposure to high-volume office equipment (e.g., shredder).
  • Pace of Work: great, multi-tasking/pressure paced environment.
