Workplace Experience Coordinator

About the Role
We’re hiring a Workplace Experience Coordinator to support our New York office and help create a warm, welcoming, and well-run workplace experience at Hatz AI.
This is a hands-on, people-facing role that blends logistics and operations with hospitality and judgment. No day will look the same, and you’ll wear multiple hats to help keep the office running smoothly as our New York team grows. At Hatz, we believe AI should work for every business - and that starts with a workplace that works for every person who walks through our doors.
What You Will Do
Be the face of the office
- Greet employees, candidates, partners, and guests with professionalism and warmth - you’re often the first Hatz experience someone has.
- Coordinate with building security at our office to ensure a smooth, secure arrival experience.
- Support recruiting by welcoming candidates and helping interviews run on time - a great candidate experience starts at the front door.
Keep the office moving
- Manage incoming and outgoing mail, packages, and deliveries throughout the day.
- Coordinate and communicate the ordering of employee meals (lunch, dinner) as needed.
- Assist office services teams (custodial, culinary, vendors) as needed.
- Help troubleshoot day-to-day issues and escalate when appropriate.
Support workplace operations and events
- Partner closely with the People team on daily needs and employee onboarding processes.
- Stock and coordinate distribution of office supplies and Hatz swag for employees and guests.
- Coordinate client meetings, partner visits, interviews, and team offsites for employees across our team.
- Assist in planning office events and activities to keep morale high - think launch celebrations, partner meetups, and the occasional well-timed surprise.
Contribute to a great employee experience
- Notice what’s working and what isn’t in the office environment, and act on it.
- Pitch in during busy moments, events, and high-traffic days.
- Help create a calm, welcoming, and reliable experience for everyone in the space - and eventually know all employees by first name.
What We Are Looking For
- Professional, friendly presence with strong communication skills.
- Comfortable in a highly visible, customer-facing role.
- Organized and detail-oriented, with strong follow-through.
- Able to balance structure with flexibility in a fast-moving, high-growth environment.
- Comfortable lifting up to 25 lbs and being on your feet throughout the day.
- Experience in front desk, office coordination, hospitality, or rapid-growth companies is a plus.
- Creativity and interest in employee events is also a plus.
- Curiosity about AI and Hatz’s mission to put the power of AI in the hands of every small business is a plus - you don’t need to be technical, but you should be excited about what we’re building.
Compensation and Benefits: $50-60K plus equity
