Location: This position is based in downtown Charleston, South Carolina and requires regular in-office attendance. Remote work is not available for this role. Relocation assistance is not provided for this position.
GENERAL SUMMARY
The Human Resources Assistant reports to the Director of Human Resources. As a member of the Support Services team, it is essential to consistently represent the team with professionalism, respect, and excellence in all interactions, both internal and external. This role provides administrative and operational support across a variety of human resources functions, including onboarding and offboarding coordination, employee records management, recruitment support, benefits administration support, payroll processing assistance, compliance tracking, and general HR administration. The Human Resources Assistant helps ensure HR processes are completed accurately, efficiently, and in a timely manner while contributing to a positive employee experience.

Employee Relations & Customer Service
Provides professional and timely customer service to employees regarding routine HR-related questions and requests.
Assists with directing employee questions to the appropriate HR team member when needed.
Maintains confidentiality while handling sensitive employee information and documentation.
Supports HR team communications and helps reinforce company policies and procedures.
Assists with preparation and distribution of employee communications and announcements.
Onboarding & Offboarding
Coordinates onboarding logistics for new hires, including scheduling orientation sessions and preparing onboarding materials.
Assists with collection and processing of new hire paperwork and employment documentation.
Prepares onboarding packets, welcome materials, and new hire gifts.
Coordinates equipment requests, office setup, and onboarding checklists with internal departments.
Conducts background check processing and monitors completion of pre-employment requirements.
Tracks completion of required training and onboarding tasks.
Processes offboarding paperwork and assists with employee separation procedures.
Coordinates exit meeting scheduling and collection of company property.
HRIS & Data Management
Maintains accurate employee records and updates employee information within HRIS systems.
Processes employee data changes including status updates, compensation changes, transfers, and terminations.
Maintains digital employee files and ensures documentation is properly filed and organized.
Processes I-9 documentation and E-Verify submissions.
Assists with payroll-related data entry and payroll change documentation.
Reviews reports for accuracy and identifies discrepancies for HR review.
Supports maintenance of HR databases, spreadsheets, and tracking logs.
Compliance & Reporting
Assists with maintaining compliance-related records and documentation.
Supports preparation of internal reports, audits, and compliance tracking.
Maintains required labor law postings and HR compliance documents.
Responds to employment verification requests and routine information requests.
Assists with maintaining HR forms, templates, and policy documents.
Tracks completion of required compliance training programs.
Recruitment & Talent Acquisition Support
Posts job openings on internal and external job boards.
Schedules interviews and coordinates calendars with candidates and hiring managers.
Assists with applicant tracking and recruitment coordination activities.
Prepares offer letters and onboarding documentation for review and approval.
Supports recruiting events, career fairs, and internship program coordination.
Maintains recruiting files and candidate records.
Assists with updates to recruiting materials and the company LinkedIn careers page.
Performance Management Support
Provides administrative support for performance review processes and timelines.
Assists with tracking completion of performance evaluations and follow-up reminders.
Prepares performance review documentation and system uploads.
Maintains organized performance management records and files.
Supports scheduling of performance-related meetings and training sessions.
Generates basic reports related to performance review completion status.
Benefits, Leave & HR Administration
Assists employees with benefits enrollment paperwork and benefit-related documentation.
Processes qualifying life event changes and updates employee records accordingly.
Supports annual open enrollment preparation and communication distribution.
Coordinates with payroll regarding benefit deductions and updates.
Assists with leave administration tracking, including FMLA, disability, and other leave requests.
Maintains leave tracking logs and monitors required documentation.
Assists with benefits invoice reconciliation and benefits recordkeeping.
Prepares and distributes benefits notices and informational materials.
Supports employee wellness initiatives and engagement activities.
Provides general administrative support to the HR department and assists with process improvements.
Other
Maintains appropriate communication channels and respects the established hierarchy to ensure clarity, alignment, and effective decision-making.
Processes incoming HR mail, email requests, and department correspondence.
Assists with tracking HR metrics and maintaining reporting spreadsheets.
Coordinates business card orders and employee directory updates.
Assists with timesheet reminders and tracking.
Maintains inventory of employee recognition items, onboarding materials, and office supplies for HR.
Coordinates employee milestone recognition items and gifts.
Assists with maintaining employee profiles within company systems and platforms.
Supports planning and coordination of employee engagement activities and office events.
Maintains professionalism and confidentiality while interacting with employees at all levels of the firm.
Maintains a professional presence during virtual meetings. When participating in meetings through Microsoft Teams or other video conferencing platforms, employees are expected to be on camera unless otherwise approved or circumstances prevent camera use.
Supports additional HR projects and administrative assignments as needed.
REQUIRED SKILLS AND ABILITIES
Basic understanding of HR principles and employment practices.
Strong organizational skills and attention to detail.
Excellent written, verbal, and interpersonal communication skills.
Ability to manage multiple tasks and prioritize responsibilities in a fast-paced environment.
Strong customer service orientation and professionalism.
Ability to handle confidential information with discretion.
Proficiency in Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
Experience with HRIS systems preferred; Paycom experience is a plus.
Familiarity with Deltek Vantagepoint or similar systems is a plus.
Ability to work in-office at least 4 days per week, with 1 remote day.
EDUCATION AND EXPERIENCE
Associate's or Bachelor’s degree in Human Resources, Business Administration, or related field.
1-3 years of HR administrative or office administrative experience in a professional services environment preferred.

PAY TRANSPARENCY
Where required by applicable law, the pay range for this position is provided in the job posting. Compensation is determined based on a variety of factors including, but not limited to, skills, experience, education, internal equity, geographic location, and business needs. This position may also be eligible for discretionary bonuses and or benefits in accordance with applicable plans and policies.
PAYROLL
Employees paid on a bi-weekly basis, consisting of 26 pay periods annually, and is issued in arrears. Direct deposit is available.
