Description

The Girl Scout mission is to build girls of courage, confidence, and character, who make the world a better place. Behind every Girl Scout and volunteer is a team of local staff ready to help them earn that next badge, embark on a camping adventure, or organize an impactful service project.

We are Girl Scouts of Northern New Jersey (GSNNJ) serving girls in grades K-12 in Bergen, Morris, Passaic, Sussex and Northern Warren counties. We bring the Girl Scout Leadership Experience to 19,000 girls and 10,200 adult members. We are looking for a detail-oriented, relationship-focused, and mission-driven Fund Development Coordinator to join our team and help strengthen donor relationships, support impactful fundraising campaigns and events, and advance our mission of building girls of courage, confidence, and character who make the world a better place. 

The Fund Development Coordinator supports the organization’s fundraising efforts by providing administrative, donor relations, and operational support across all development initiatives. This role manages donor records, tracks campaign progress, assists with communications and solicitations, prepares reports, and ensures timely donor acknowledgment and stewardship. Overall, the position helps strengthen donor relationships and contributes to the success of annual campaigns, mid-level giving, and the Comprehensive Campaign.

Responsibilities:

  • Carries out clerical duties specific to the position and supports fund development team operations including budget tracking, pledge payment schedules and pledge reminders, invoices, and vendor coordination; maintains files for the department. 
  • Accurately codes and records daily receipts in the database and ensures donors receive written acknowledgments within two days of their contribution.
  • Produces weekly and monthly fundraising reports and other reports as requested. Rectifies monthly reports with the Finance Department.
  • Compiles data gathered from emails, phone calls, and referrals from staff members. Updates biographical information / demographic information in the database.
  • Researches individuals, corporations and foundations, and prepares donor profiles, research summaries, and background materials for President/CEO, Board Chair, and/or Director of Development. Secures appointments with donors and prospects.
  • Maintains a prospect pipeline and tracks engagement through Donor Perfect, spreadsheets, or other tracking methods
  • Provides scheduling, meeting preparation, and follow up support for Director of Development, Comprehensive Campaign Committee, Fund Development Committee, and Women of Achievement Committee.
  • Produces correspondence, statistical reports, and minutes of related committee meetings, including Comprehensive Campaign Committee, Women of Achievement Committee, and Fund Development Committee.
  • Prepares campaign materials, presentations, and donor packets, as needed.
  • With the Director of Development, assists in the implementation of annual giving strategies, including annual giving appeals, monthly giving programs, and donor stewardship activities, including management and execution of GEM newsletter and quarterly cultivation events. 
  • Assesses and analyzes donor data to identify giving patterns, donor capacity, engagement trends, and segmentation opportunities; uses findings to support targeted outreach, cultivation strategies, and planning for asks and solicitations.
  • Supports donor segmentation and personalized outreach to ensure effective stewardship and cultivation.
  • Generates donor lists, dashboards, and reports to support solicitations and campaigns.
  • Supports the planning, coordination, and execution of the Women of Achievement signature fundraising gala, as well as donor engagement, fundraising and other special events, including event registration platforms, vendor coordination, logistics, sponsorship fulfillment, and post-event evaluation and reporting.
  • Coordinates event-related fundraising initiatives, including silent auctions, raffles, advertising sales, tribute or recognition opportunities, and other revenue-generating activities by managing solicitation efforts, donor and sponsor tracking, package development, event execution, acknowledgments, and post-event follow-up.
  • Ensure the organization’s fund development software is fully utilized and maintained, including accurate data entry, regular updates, reporting, and identifying opportunities to maximize its effectiveness for donor engagement, stewardship, and revenue tracking.
  • Assists with drafting donor correspondence, stewardship reports, and newsletters, and creating printed fundraising materials and mailings.
  • Provides basic information to customer / donor inquiries and directs follow up requests to respective staff members in a timely manner.
  • Always demonstrates a quality customer service attitude. 
  • Helps foster and implement the Council’s policy to strive for a volunteer, employee, and program participant population reflective of the area’s religious, racial, ethnic, social, and economic diversity.
  • Performs other duties as assigned, including key accountabilities.

Staff members are accountable to achieve their performance goals that collectively enable GSNNJ to reach Council goals. Each staff member is expected to take an active role in all areas of operations, especially by being alert to opportunities to identify and engage potential volunteers, girl members, donors, vendors, collaborators, etc. and providing contact information to the appropriate staff person. Each employee is a representative of Girl Scouts of Northern New Jersey. Others form their impressions of GSNNJ based, in part, on their interaction with employees. Every personal contact made by a GSNNJ employee could be a current or potential donor; thus, these impressions can influence donor actions. Each employee is expected to take an active role in development by being alert to opportunities to identify potential new donors and providing contact information to the Director of Development. On occasion, employees may be asked to participate in site visits and/or follow-up calls with contacts.

Requirements

  • Associate degree (or equivalent experience) in related field.
  • Excellent written and verbal communication skills.
  • Exceptional time management and capability to handle multiple tasks and deadlines.
  • Proficiency in Donor Perfect or other relational databases for data entry and reporting.
  • Proficiency in Microsoft Office Suite, specifically with Excel.
  • Experience with and ability to secure appointments by phone and/or related sales skills. 
  • Experience with special events planning and management, including coordination of timelines, vendors, logistics, volunteers, event technology, and post-event follow up.
  • Experience with advertising sales, sponsorship outreach, or comparable solicitation activities, including securing commitments and follow up for tribute journal ads, silent auction items, or related event revenue opportunities is preferred.
  • Membership in GSUSA is required upon employment and annually thereafter, cost covered by the council.
