Feeding San Diego is a non-profit organization on a mission to connect every person facing hunger with nutritious meals by maximizing food rescue. Established in 2007, Feeding San Diego rescues surplus food from local and national food donors before it goes to waste and gets it to people facing hunger in San Diego County. It is the only Feeding America partner food bank in the region.

Job Description

POSITION SUMMARY

Under the supervision of the Director of Operations, the Order Fulfillment Manager is responsible for managing and optimizing the entire order fulfillment process from order receipt to delivery. This role ensures that agency orders are processed efficiently, accurately, and delivered on time while maintaining high standards of quality and service. This role involves managing the Order Fulfillment team, optimizing processes, following all personal safety/food safety regulations and coordinating with various departments to achieve Feeding San Diego’s mission.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Order Fulfillment Operations:

  • Oversee the end-to-end Order fulfillment process including agency order entry, picking, packing, staging, and delivery.
  • Develop and implement strategies to streamline and improve order processing workflows.
  • Ensure agency orders are fulfilled accurately and timely in accordance with Feeding San Diego standards.

Team Management

  • Lead, coach, and develop the Order Fulfillment team, including Assistant Managers, Coordinators, and team members.
  • Conduct regular performance reviews and provide feedback to team members.
  • Foster a positive and productive work environment that encourages teamwork and continuous improvement.

Quality Control and Assurance

  • Implement quality control procedures to ensure order accuracy and product quality.
  • Address and resolve order-related issues, discrepancies, and agency complaints.
  • Develop and monitor key performance indicators (KPIs) for order accuracy, fulfillment time, and customer satisfaction.

Systems and Technology

  • Oversee the use of Ceres (operating system), scanners and other technology to improve efficiency and accuracy.
  • Work with IT and operations teams to troubleshoot system issues and implement enhancements.
  • Ensure data integrity and accuracy in order processing.

Process Improvement

  • Identify opportunities for process optimization and cost reduction in the order fulfillment process.
  • Lead initiatives to improve fulfillment speed, accuracy, and efficiency.
  • Stay updated on industry trends and best practices in order fulfillment and logistics.

Cross-Functional Collaboration

  • Collaborate with all departments to ensure alignment and coordination.
  • Participate in planning and forecasting activities to align order fulfillment with Feeding San Diego objectives.

Compliance and Safety

  • Ensure compliance with company policies, procedures, and safety regulations.
  • Promote a safe working environment and ensure adherence to safety standards and practices.
  • Develop and implement training programs for safety and compliance.

Reporting and Analysis

  • Prepare and analyze reports on order fulfillment metrics, inventory levels, and team performance.
  • Provide insights and recommendations to senior management based on data analysis.
  • Develop and monitor budget for the Order Fulfillment department.

INTERACTION
The position will interact closely with all Operations staff, and provide information to donors, potential donors, individuals in need, volunteers, agency representatives, and others from the community.

Qualifications

EDUCATION/YEARS EXPERIENCE

Preferred* A.A. or B.A. degree from an accredited college with a concentration of course work in Business Management, Social Services, Receiving & Distribution Services or comparable course of study,

5+ years of experience in order fulfillment, warehouse management, logistics, experience in food distribution programs or a similar role; 2+ years in a leadership or managerial position.

KNOWLEDGE, SKILLS AND ABILITIES

  • Technical Skills: Proficiency in order management systems, ERP software, and Microsoft Office Suite.
  • Leadership: Strong leadership and team management skills, with the ability to motivate and develop team members.
  • Analytical Skills: Ability to analyze data, identify trends, and make informed decisions.
  • Communication: Excellent verbal and written communication skills; ability to communicate effectively with team members.
  • Problem-Solving: Proactive approach to identifying and resolving operational issues.
  • Organizational Skills: Strong organizational and time-management skills; ability to handle multiple priorities and projects.
  • Customer Focus: Commitment to delivering high-quality service and customer satisfaction.
  • Process Improvement: Experience in process optimization and continuous improvement initiatives.

Tools and Equipment Used

Stand-up Forklift, pallet jack, dolly, scissor lift, computer, adding machine (10key), multi-line phone, copier, printer

LICENSES/CERTIFICATIONS

Must have reliable transportation and possess and maintain a valid California driver’s license, a satisfactory driving record, including proof of personal vehicle insurance coverage and insurability under the Agency’s insurance carrier standards.

Must be able to obtain and keep a forklift and electric pallet jack certification. Training will be provided.

PHYSICAL, MENTAL & ENVIRONMENTAL REQUIREMENTS

The demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  While performing the duties of this job, the employee is regularly required to:

  • Perform work in a warehouse, which may occasionally create exposure to dust and pollen.
  • Perform work in a cooler and freezer.
  • Stand for extended periods, walk, bend at the waist and knees, kneel and use hands, arms and legs for dexterity
  • Climb stairs frequently 
  • Maintain balance
  • Sit for prolonged periods of time
  • Regularly lifts, carries and balances objects weighing up to 50 pounds.
  • Pulls and pushes such objects as file drawers and supplies.
  • The noise level in the work environment varies and can be considered moderate.
