POSITION SUMMARY

The Safety Administrator provides administrative and operational support to the Health, Safety, Security, and Environmental (HSSE) Department to ensure compliance with company policies, client requirements, and regulatory standards. This position serves as the first point of contact for employees, subcontractors, and visitors entering the project office while supporting the day-to-day administrative functions of the HSSE team. Responsibilities include managing safety documentation, coordinating project orientations and access control, maintaining compliance records, and assisting with departmental reporting and logistics.

The ideal candidate is highly organized, customer-service oriented, and able to manage multiple priorities in a fast-paced heavy civil construction environment.

The Safety Administrator’s key responsibilities are:

  • Serve as the primary receptionist for the project office by greeting employees, visitors, subcontractors, clients, and vendors in a professional and courteous manner.
  • Assist employees, subcontractors, and visitors with the completion of required project safety orientations and onboarding documentation.
  • Enroll employees and subcontractors in the Site Security Access Badge Program.
  • Issue and maintain visitor access badges, verify visitor approvals, and maintain accurate visitor logs.
  • Compile, prepare, and submit daily HSSE reports and project submittals.
  • Compile and prepare weekly HSSE reports, documentation, and client deliverables.
  • Compile and prepare monthly HSSE reports, metrics, and compliance documentation.
  • Prepare and distribute weekly Toolbox Talks and maintain associated training records.
  • Maintain organized physical and electronic HSSE files, ensuring records are complete, accurate, and readily accessible.
  • Maintain safety training records, certifications, orientations, and other compliance documentation.
  • Assist the HSSE Department with inventory management and distribution of personal protective equipment (PPE), safety equipment, office supplies, and other departmental materials.
  • Coordinate meeting logistics, prepare correspondence, and provide general administrative support to the HSSE team.
  • Assist with data entry, document preparation, filing, and recordkeeping.
  • Maintain confidentiality of sensitive employee and company information.
  • Perform other HSSE-related duties and special projects as assigned.

EDUCATION AND QUALIFICATIONS

  • Associate's degree in Business Administration, Occupational Safety, Construction Management, or a related field is preferred.
  • Minimum of 2 years of administrative experience, preferably supporting safety, construction, engineering, or industrial operations.
  • OSHA 30-Hour Construction Certification (Required).
  • Previous experience working on a heavy civil or commercial construction project is preferred.
  • Experience supporting compliance programs, maintaining records, and preparing reports is highly desirable.

JOB REQUIREMENTS

  • Excellent customer service and interpersonal skills with the ability to professionally interact with employees, subcontractors, clients, and visitors.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to prioritize multiple assignments and meet deadlines in a fast-paced construction environment.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Ability to maintain accurate records and handle confidential information with discretion.
  • Familiarity with OSHA regulations, construction safety practices, and document control processes.
  • Ability to work independently while collaborating effectively with multidisciplinary project teams.

PHYSICAL DEMANDS 

  • Primarily office-based within an active heavy civil construction project.
  • Frequent interaction with employees, subcontractors, visitors, clients, and project leadership.
  • Regular walking throughout the project office and construction site to support onboarding, badge issuance, and HSSE operations.
  • Ability to occasionally lift and move office supplies, PPE, or equipment weighing up to 25 pounds.
