The Role

The Purchasing and Expediting Specialist is responsible for the procurement, tracking, and expediting of electrical, mechanical, and power system equipment required for engineering, construction, and utility projects. This position ensures that materials, equipment, and services are purchased competitively, delivered on schedule, and comply with project specifications and quality requirements.

The role works closely with project managers, engineers, vendors, manufacturers, and logistics providers to support power generation, transmission, distribution, substation, and industrial infrastructure projects.

Technical Skill Requirements

•    Strong understanding of procurement processes and supply chain management.

•    Ability to read and interpret technical specifications, equipment datasheets, and engineering drawings. 

•    Knowledge of electrical power system equipment and utility industry practices preferred.

•    Strong organizational and time management skills. 

•    Excellent verbal and written communication abilities.

•    Proficiency with Microsoft Office Suite, ERP systems, procurement software, and project management tools. 

•    Ability to manage multiple projects and priorities simultaneously.

•    Strong negotiation and vendor relationship management skills. 

•    Detail-oriented with excellent follow-through.

Essential Duties and Responsibilities

Procurement and Purchasing 

•    Solicit quotations from qualified suppliers and manufacturers

•    Prepare and issue purchase orders for electrical, mechanical, and control system equipment Review technical specifications and coordinate with engineering staff to ensure proper equipment selection

•    Negotiate pricing, delivery schedules, terms, and conditions with suppliers

•    Evaluate supplier performance regarding cost, quality, responsiveness, and delivery reliability Maintain approved vendor and supplier databases.

Order Tracking and Expediting 

•    Monitor purchase orders from issuance through final delivery

•    Maintain detailed procurement logs and status reports for all active projects

•    Proactively communicate with suppliers to verify manufacturing schedules and shipment dates Expedite critical equipment to ensure project milestones and construction schedules are met

•    Identify potential delays and develop mitigation plans with project teams and vendors Coordinate factory inspections, witness testing, and release for shipment when required

Logistics and Delivery Coordination 

•    Coordinate transportation and delivery of equipment to project sites, warehouses, and construction locations

•    Track shipments and provide regular status updates to project managers and stakeholders Resolve shipping discrepancies, damaged freight claims, and delivery issues

•    Coordinate international and domestic freight logistics when required

•    Ensure proper documentation is received, including packing lists, bills of lading, certificates of compliance, and warranty information

Project Support 

•    Participate in project kickoff meetings and procurement planning sessions

•    Develop procurement schedules aligned with engineering and construction milestones

•    Support budgeting and cost tracking activities

•    Assist with contract administration and supplier correspondence

•    Maintain organized procurement records and project files.

Power transformers - Circuit breakers and switchgear - Protective relays and SCADA equipment - Power cables and conductors - Poles, structures, and transmission hardware - Generators and engine-generator systems - Battery energy storage systems (BESS) - Inverters and renewable energy equipment - Pumps, valves, and mechanical process equipment - HVAC systems - Industrial control systems - Communications equipment

Qualifications 

Education 

•    Associate degree or bachelor's degree in Business, Supply Chain Management, Engineering Technology, Construction Management, or related field preferred. Equivalent combination of education and experience may be considered.

Experience 

•    3–7 years of purchasing, procurement, expediting, supply chain, or project support experience

•    Experience with utility, electrical, industrial, power generation, transmission, distribution, or construction projects preferred

•    Experience procuring long-lead electrical and mechanical equipment is highly desirable.

Physical Requirements

•    Primarily office-based work

•    Occasional travel to vendor facilities, manufacturing plants, warehouses, and project sites

•    Ability to lift up to 25 pounds occasionally
