Position Overview: The Front Desk Administrator will be responsible for greeting clients, managing incoming calls, and performing various administrative tasks. You will play a key role in ensuring the smooth operation of our office and providing excellent customer service to both clients and staff.
Key Responsibilities:
Welcome and greet clients, visitors, and vendors, ensuring a positive experience
Answer and direct phone calls, take messages, and handle general inquiries from the info email
Manage the front desk area, ensuring it is neat, organized, and stocked with necessary supplies
Assist with scheduling meetings, managing calendars, and coordinating conference room bookings
Maintain office security by following safety procedures
Receive and deliver daily mail and packages
Coordinate & mail packages via USPS, UPS and courier services
Assist with administrative tasks such as data entry and provide occasional backup to facilities
Help coordinate office events and team activities
Schedule and coordinate CEU Lunch & Learn presentations for the firm
Ordering food for inhouse meetings
Keep the Front Desk Manual up to date
The hourly wage range for this position is $22 to $25 per hour depending on experience.
Qualifications:
High school diploma or equivalent required; an Associate’s or Bachelor’s degree is a plus
Previous experience in a front desk, receptionist, or administrative role is preferred
Strong communication and interpersonal skills
Ability to handle multiple tasks and prioritize in a fast-paced environment
Proficient in Microsoft Office Suite (Word, Excel, Outlook)
Experience working in an architecture, design, or construction firm is a plus, but not required
Professional appearance and demeanor
Strong organizational skills and attention to detail
