CWI Works is recruiting for an Administrative Specialist position within the Senior Environmental Employment (SEE) Program that provides support the United States Environmental Protection Agency (EPA), Office of Air and Radiation (OAR), Office of Clean Air Programs (OCAP) in Durham, North Carolina. 

Role and Responsibilities

  • Reviews and edits technical memorandums, regulatory documents, and public correspondence to support the division. 
  • Prepares travel authorizations and vouchers in the Agency’s travel management system (Concur). This includes making travel reservations (air, hotel, rental car, etc.) using Concur. Preparing vouchers involves receiving receipts from travelers and completing the voucher for signature by the traveler. Acts as the division point of contact to answer travel questions from staff. Updates and maintains lists of completed and anticipated travel and associated budget. 
  • Performs routine tasks of monitoring budget requests and tracking expenditures on behalf of the division. Assists in inputting new task orders for contracts and revisions to task orders in tracking systems. 
  • Works within the division in assessing needs, such as furniture, electronics, and supplies and works with other divisions to secure the division’s NRDs acquisition requests. 
  • Performs office management tasks such as maintaining, inventorying, organizing, and tracking purchases of office supplies. Solicits division staff for supply needs on a consistent basis. Sorts and delivers mail and packages. Maintains division contact lists and organizational charts. Schedules meetings, including sending invitations, reserving rooms/resources, receiving materials, distributing meeting materials in advance, preparing agendas, and occasional note taking. Assists staff in preparing meetings and conferences by reserving resources, staffing registration tables, answering logistical questions, and collecting evaluations. Serves as the division point of contact for shipping materials through the USPS, UPS, and interoffice mail. 
  • Greets and escorts visitors while on campus. Prepare visitor materials for meetings and conferences.

Qualifications and Education Requirements

Successful candidates must:

  • Be 55 years of age or older.
  • Be a United States citizen.
  • Be able to pass a federal background investigation.
  • Possess a bachelor's degree.
  • Scientific, engineering, and legal background preferred.
  • Have technical experience in Microsoft 365 (Excel, Word, and Outlook).
  • Possess basic computer (able to learn agency applications like Concur, CMS, VMS), typing, written and oral communication skills.
  • Be organized and self‐motivated.

Hours and Compensation

This is a full-time position working 40 hours per week at $39,956.80 annually ($19.21 per hour).
