Join our team as a Facilities Management Coordinator!

We’re looking for a Facilities Management Coordinator to support the daily operations of our headquarters, ensuring our workplace remains professional, welcoming, efficient, and well-maintained.
In this role, you will serve as a key resource for a wide range of facilities and workplace services, including mailroom operations, office equipment support, vendor coordination, inventory management, event and meeting logistics, building access administration, and general facility upkeep. You will also work closely with the Facilities team to help maintain our building, support employees and visitors, and ensure day-to-day operations run seamlessly. Whether you are coordinating a delivery, preparing for a board meeting, troubleshooting a copier, stocking office supplies, or assisting with minor repairs, your work will directly impact the daily experience of everyone in the building.
This position will work from our office in Columbus, Ohio.
What You’ll Do:
- Assists the AVP, Facilities Management in overseeing vendors performing preventative maintenance, equipment repairs, alarm calls, and special projects. Takes initiative as needed to contact vendors to address maintenance issues.
- Assists in maintaining onsite company vehicles, ensuring required maintenance is completed and logs are current and accurate.
- Prepares copy center and document imaging requests accurately and in a timely manner; troubleshoots office equipment (copiers, printers, mail machines) and coordinates with vendors for resolution.
- Processes incoming and outgoing mail and shipments, including logging deliveries, distributing items, and ensuring proper labeling and departmental chargebacks.
- Serves as a primary point of contact for catering logistics, including board meetings, internal events, and company initiatives such as Connection week.
- Orders, stocks, and inventories office supplies, furniture, equipment, business cards, and kitchen supplies; reconciles invoices for AVP approval and researches cost-effective products and services.
- Supports building security badge administration, including issuing, tracking, auditing, deactivating, and reporting on access credentials in coordination with Facilities, Risk, and IT.
- Maintains kitchen and common areas by restocking supplies and performing light housekeeping duties (e.g., dishwasher use, surface cleaning).
- Provides backup support to other Facilities’ team members, including assisting with minor repairs (furniture, plumbing, electrical fixtures) and department administrative tasks.
- Flexible to perform other duties and projects as assigned.
Qualifications:
- Education: High school diploma required.
- Experience: Two years in an office or clerical environment preferred. Experience working in a mailroom or copy center preferred. Experience operating office equipment (printers, copiers, and mail machines) preferred.
- Specific Job Knowledge and Skills Required: Basic knowledge of building systems and maintenance practices preferred. Must possess a valid driver’s license and must be insurable for operating company vehicles. Ability to lift up to 35 pounds and transport/guide up to 75 lbs of material on a cart. Strong organizational, problem-solving, and customer service skills
- Technology Skills Required: Proficiency in Microsoft Word and Excel required.
