Central Ohio Primary Care is seeking a full time Office Manager for our COPC Sports, Spine & Joint office in Columbus, OH! This position is responsible for managing and coordinating all practice functions.
Essential Functions and Responsibilities:
Oversee staffing responsibilities for the practice/site, which includes interviewing and selecting new employees; coaching; training and professional development; conflict resolution; and disciplinary action and follow-up. Also ensures timely completion of performance reviews for direct and indirect reports ensuring goals are achieved.
Maintain and promote an orderly, efficient and well-run office; continually assess office operations and recommend changes in office workflow, policies/procedures, programs, products and services.
Responsible for staff recruitment, new hire on-boarding and training.
Provide coaching support to all staff and serve as a role model in support of office and corporate initiatives.
Create an environment of customer service and compassion that promotes exceptional patient experiences.
Manage daily schedule of work assignments for staff and operations; provide coverage for others’ work responsibilities to ensure work is completed as needed.
Facilitate employee performance evaluations and responsible for performance management of team. Manage ongoing training for current staff.
Complete bi-weekly payroll entries and ensure all employee information is sent to Human Resources on a timely basis; provide oversight of appropriate time use and monitor the need and frequency of overtime and float positions.
Serve as liaison and primary point-of-contact by answering inquiries, providing information, and addressing concerns; communicate regularly with providers regarding office management items and CBO updates.
Promote a welcoming and inclusive environment for employees, physicians and patients.
Drive practice alignment with COPC corporate strategy and initiatives intended to improve operational success including, but not limited to, quality and financial success.
Collaborate with the CBO to promote effective relationships with patients, government agencies, vendors, insurance plans and all departments.
Support and comply with all COPC corporate policies and procedures; implement and communicate changes to company policies and procedures.
Coordinate with Revenue Cycle for management of accounts receivable, collections and billing issues; oversee daily balancing, deposits and timely invoice payment.
Participate in professional development activities to keep current with trends and practices in health care; regularly attend scheduled CBO meetings for updated corporate operations.
Maintain the strictest confidentiality and ensure compliance with HIPAA, OSHA, CLIA and all labor laws.
Perform other duties as assigned.
Qualifications:
A. Education, Licensures, Certifications & Experience
Required: High School Diploma or GED equivalent
Preferred: Associate or Bachelor’s degree
Required: At least two (2) years’ experience working in a medical office setting
Preferred: Prior supervisory or leadership experience in healthcare organization
Preferred: Clinical knowledge and experience (e.g., Medical Assistant, RN)
B Knowledge, Skills & Abilities
Knowledge of principles and practices of health care planning and management sufficient to manage, direct, and coordinate the operations and oversee the daily operations of a primary care medical practice.
Skill in establishing and maintaining effective working relationships with employees, providers, third party payers, patients, vendors and the public.
Knowledge of clinic/practice workflows, patient access processes, patient registration, scheduling operations, etc., including medical terminology, and ICD-10 and CPT coding.
Proficient in Microsoft Office applications (e.g., Outlook, Word, Teams); prior experience with Electronic Medical Records systems (Epic preferred).
Strong written and verbal communication skills with ability to communicate effectively with all levels of individuals inside and outside the organization.
Ability to maintain confidentiality and safeguard sensitive patient and employee information.
Demonstrated ability to exercise a high degree of initiative, judgment, discretion, and decision making to achieve organizational objectives, policies and procedures.
Skilled with analyzing situations accurately and taking effective action; take responsibility and exercise authority over assigned work functions.
Skill in organizing work, making assignments, and achieving goals and objectives.
Ability to establish, monitor and maintain quality productivity and service standards.
Ability to organize and integrate organizational priorities and deadlines and manage a team in a fast-paced environment.
