Responsibilities as an Office Coordinator
Office Administration
• Coordinate the daily operations of the office to ensure smooth and efficient workflow.
• Maintain office organization, supplies, equipment, and administrative resources.
• Manage office calendars, meeting schedules, room bookings, and visitor coordination.
• Support leadership with administrative tasks and day-to-day office requirements.
• Coordinate onboarding and offboarding logistics in collaboration with internal departments.
• Ensure office policies, procedures, and standards are consistently followed.
Administrative Coordination
• Prepare reports, correspondence, presentations, and meeting documentation.
• Maintain organized filing systems, office records, and confidential documents.
• Track administrative requests and ensure timely completion.
• Coordinate internal communications and distribute important announcements.
• Assist with travel arrangements, accommodations, and logistical requirements when necessary.
Meeting & Stakeholder Coordination
• Organize internal meetings, leadership sessions, and company events.
• Prepare meeting agendas, document minutes, and monitor action items.
• Coordinate communication between departments to ensure alignment and timely follow-through.
• Serve as a liaison between employees, management, and external stakeholders.
Office Operations
• Monitor office facilities and coordinate maintenance, repairs, and vendor services.
• Ensure office equipment remains functional and operational.
• Coordinate inventory management for office supplies and consumables.
• Support workplace health, safety, and security initiatives.
• Assist in implementing operational improvements that enhance office efficiency.
Continuous Improvement
• Identify opportunities to improve office processes and administrative workflows.
• Recommend solutions that improve productivity, communication, and employee experience.
• Promote operational excellence through organized documentation and standardized processes.
Qualifications as an Office Coordinator
• Bachelor's degree in Business Administration, Office Administration, Management, or a related field is preferred.
• Minimum of 3–5 years of experience in office administration, executive support, operations coordination, or a similar role.
• Experience supporting multiple departments within a fast-paced environment.
• Strong organizational and time-management skills.
• Excellent written and verbal English communication skills.
• Proficiency in Microsoft Office Suite, Google Workspace, and collaboration platforms.
• Experience preparing reports, presentations, and executive documentation.
• Strong problem-solving and multitasking abilities.
• Ability to maintain confidentiality while handling sensitive information.
• Experience working with remote or hybrid teams is an advantage.
