Department: Executive Team   

FLSA: Non-Exempt       

Status: Full Time

Reports to: Trish Vogel 

Customary Days: Monday - Friday 

Customary Hours: 8:45am-5:15pm. Hours may be extended when workload is increased.

Position Summary 

The Sales & Client Services Coordinator is responsible for performing administrative duties related to management of the reception desk and supports the Sales department and Executive Team.  This includes, but is not limited to, answering phones, greeting and announcing clients/guests, e-mail management, filing, and managing client inquiries. As the first point of contact at the reception desk, you will greet visitors with professionalism and warmth while managing daily office functions. This role requires excellent communication, multitasking, and organizational skills and an upbeat attitude. 

 

Essential Functions: 

  • Welcome and assist visitors and vendors upon arrival. 
  • Answer phones, engage clients and direct calls to appropriate person. 
  • Complete inquiry forms carefully and promptly enter information into CaterXpert.  
  • Maintain calendar for the tasting rooms, conference rooms and Larkin Hall event spaces. 
  • Monitor and maintain common areas including reception, conference rooms, training room, and supply areas 
  • Manage incoming and outgoing mail and packages, coordinate messengers and deliveries. 
  • Collect sales reports, update team Excel report and distribute company wide weekly.  
  • Monitor usage and repair of office machinery including copiers, printers and postage machine.  
  • Proactively assist sales team with items such as, but not limited to, the following; Creating and printing tent cards, creating, printing and cutting tasting menus, research projects and packaging client favors/gifts. 
  • Check information e-mail inbox at least four (4) times per day during normal working hours.  Forward communications to correct point of contact. 
  • Track company stationary inventory and coordinate reorder through the Marketing Department as needed.  
  • Maintain order and cleanliness for sales craft area. 
  • Order office supplies once a week. Order office supplies needed to set up newly hired employees. Manage office supply budget on monthly basis. 
  • Distribute intra-company phone and e-mail lists to entire staff, monthly. 
  • Maintain and update the Weekend/Holiday Manager on Duty List; ensure phone voicemail is updated accordingly. 
  • Learn Catering Software  functions  
  • Input of onsite lunch or dinner orders for client entertaining to include food, equipment rentals, staff and set up. 
  • Perform other relevant tasks as required.

  • High school diploma required.  Bachelor’s degree preferred. 
  • Minimum of 2 years of experience in administrative support or office management.

  • Strong computer skills that include proficiency with MS Office and Google applications, Catering and CRM software.   
  • Local travel is required. 

Language Skills  

Ability to read, write and speak English proficiently. Bilingual skills preferred.

  • The employee must occasionally lift and/or move up to 20-25 pounds.  
  • At times, may require more than 40 hours per week to perform the essential duties of the position.  
  • Fine hand manipulation (keyboarding).

Compensation and Benefits: 

Salary Range: $50,000 - $55,000 annually, based on experience and qualifications
