We are currently seeking a Deputy Office Administration Manager, reporting directly to Office Administration Manager to join our BP1 Project team based in Batam.

About the opportunity we offer:

• Manage daily office and site administration activities, including correspondence, filing, reports, meeting coordination, minutes of meeting, records management, and follow-up of action items.
• Coordinate general affairs support such as office allocation, transport, accommodation, travel arrangements, petty cash administration, office supplies, and internal logistics.
• Support HR administration for project and office teams, including manpower coordination, onboarding support, attendance administration, work scheduling, and liaison with manpower agencies or internal HR teams.
• Handle expatriate administration, including visa and work permit coordination, accommodation, mobilization and demobilization, airport transfer arrangements, and compliance with site or government requirements.
• Liaise with subcontractors, vendors, agents, and government-related counterparts to ensure timely submission and follow-up of required documentation and administrative processes.
• Support budget monitoring and cost control activities by assisting with budget calculation, manpower planning, invoice support, expense tracking, and administrative cost follow-up in line with project requirements.
• Maintain document control and proper filing systems for project, commercial, HR, QA/QC, and operational records.
• Assist management in coordinating communication across departments such as project controls, procurement, HR, finance, QA/QC, HSE, and operations.
• Contribute to internal compliance and continuous improvement initiatives, including support to ISO-related administration and procedure implementation where required.
• Provide reliable administrative leadership and act as a focal point for resolving office and site issues efficiently and professionally.

Qualifications: 

• Bachelor Degre with minimum experience 8 years or Diploma degree with minimum experience 12 years
• having relevant experience in administration, general affairs, HR support, expatriate coordination, document control, and project cost follow-up
• strong exposure to oil & gas and industrial project environments
• able to work independently with minimum supervision

Languages: English with proficiency level (Professional / Fluent)

Main skills: 

• HR and General affairs (including formality)
• Document Control
• Vendor and Subcontractor liaison / management
• Problem solving and good communication skills
• Good working knowledge of Microsoft Office and standard computer applications
