Scheduling Coordinator
About this role
Work Schedule:
This is a full time position. The role is onsite with standard working hours of Tuesday-Saturday from 9AM-6PM. We believe in maintaining a healthy work-life balance while ensuring business needs are met.
- Coordinate and schedule patient appointments for pain management services, ensuring optimal clinic flow and provider availability
- Act as the primary point of contact for patients, guiding them through the booking process and next steps
- Liaise with healthcare providers, case managers, and WSIB representatives to ensure timely and accurate scheduling of assessments and follow-ups
- Coordinate with legal offices and lawyers who refer patients to the clinic, ensuring smooth intake and communication throughout the scheduling process
- Review and process referrals, ensuring all required documentation and approvals are in place prior to booking
- Maintain accurate and up-to-date patient records within the EMR system
- Follow up with patients regarding upcoming appointments, changes, or required documentation
- Manage cancellations, rescheduling, and waitlists to maximize clinic efficiency
- Ensure compliance with WSIB guidelines, timelines, and clinic protocols
- Provide administrative support to the clinic team as needed
Qualifications:
. Experience with processing insurance claims
· Strong organizational and multitasking skills with attention to detail.
· Excellent communication and interpersonal skills to interact with clients and team members.
· Proficiency in scheduling and EMR software.
· Ability to maintain a professional and positive demeanor in a fast-paced environment.
· Proficiency in Korean, Mandarin or Spanish is highly preferred.
Compensation:
The salary for this position ranges from $17-28/hr, depending on experience, with additional performance-based incentives and benefits.
