Human Resources Coordinator
Xavier University’s Office of Human Resources is seeking a welcoming, dependable, and detail-oriented Human Resources Coordinator who can manage multiple responsibilities while making a positive first impression on everyone who enters or contacts the Office of Human Resources. Reporting to the Executive Assistant of Human Resources, this role provides exceptional customer service, manages front desk operations, answers phone calls, and performs a variety of administrative tasks to support the office's daily operations, including various projects for the Vice President and Chief Human Resources Officer and members of the Human Resources team. This position handles confidential information and fields various inquiries received from constituents both on and off campus.
The ideal candidate must be well-organized, excellent at multitasking, and able to function both independently and collaboratively with other members of the Office of Human Resources and constituents across campus. The individual will exercise a high level of confidentiality, attention to detail, and a dedication to excellence in their work.
Main Responsibilities:
- Serves as the first point of contact for the Office of Human Resources.
- Greets and welcomes visitors in a courteous and professional manner.
- Responds to internal and external inquiries either in-person, by phone, or via the Human Resources office inbox, exercising sound judgement in determining which inquiries can be resolved independently and which require escalation to the appropriate HR team member.
- Maintain a clean, organized, and professional reception area.
- Understand basic HR functions and navigation of the Workday system.
- Assist with filing, data entry, copying, scanning, and document preparation.
- Maintain office supplies, inventory, and organization of office resources.
- Understand and interpret HR processes, practices, and policies.
- Receive, open, and distribute daily mail, packages, and correspondence to appropriate team members.
- Support the Vice President and Chief Human Resources Officer and members of the team with various administrative tasks and special projects.
- Provide administrative support for onboarding of student employees in Workday and processing of student employment records, ensuring accuracy and compliance with policies and procedures.
- Assist members of the HR team with onboarding of new hires, including I-9 completion and gathering of new hire paperwork.
- Assist with setup and support of departmental meetings and events.
- Perform other job-related duties as assigned.
Qualifications:
- High school diploma or equivalent required.
- Bachelor’s degree preferred.
- 3 – 5 years of relevant experience.
- Proficiency in Microsoft Office (Word, Excel, and Outlook)
- Previous experience with Workday is a plus.
- Excellent written and interpersonal, analytical, and office/administrative support skills.
- Basic project and process management skills.
- Ability to manage multiple priorities and responsibilities.
- Strong organizational and multitasking abilities.
