Position Summary
The Executive Assistant to the President provides comprehensive executive, administrative, and operational support to the company's President. the President's calendar, communications, priorities, and special initiatives while ensuring the efficient operation of the executive office. The Executive Assistant acts as a liaison between the President and internal and external stakeholders, exercises sound judgment in handling confidential matters, and provides broad support across the organization to help achieve strategic and operational objectives. This role requires exceptional organizational skills, adaptability, professionalism, and the ability to anticipate needs in a fast-paced construction environment.
Key Responsibilities
Executive Support
- Manage and maintain the President's complex calendar, including scheduling meetings, appointments, and project site visits.
- Prioritize competing demands and proactively resolve scheduling conflicts.
- Coordinate domestic travel arrangements, accommodations, and detailed itineraries.
- Coordinate activities and communications among departments to ensure alignment and timely execution of executive priorities.
- Provide broad administrative and operational support to the President and executive leadership team as needed.
- Screen and prioritize phone calls, emails, and correspondence.
- Prepare reports, presentations, meeting agendas, and other executive documents.
- Draft correspondence and communicate on behalf of the President as appropriate.
- Maintain confidential files and sensitive company information.
- Support the planning and execution of company meetings, leadership retreats, employee events, and client functions.

Meeting & Project Coordination
- Organize executive meetings, leadership meetings, and board meetings.
- Prepare meeting materials, record meeting minutes, and track action items.
- Follow up with internal departments to ensure timely completion of assigned tasks.
- Coordinate company events, client meetings, and executive functions.
Communication & Relationship Management
- Serve as a primary point of contact between the President and employees, clients, vendors, subcontractors, and business partners.
- Foster positive relationships while maintaining professionalism and confidentiality.
- Coordinate communications across departments to support organizational objectives.
Construction Industry Support
- Coordinate project-related meetings and executive site visits.
- Track key project milestones and executive follow-up items.
- Coordinate with project managers, estimators, safety personnel, and field leadership regarding executive requests.
- Support special projects and strategic initiatives assigned by the President.
Additional Responsibilities
- Anticipate the President's needs and proactively identify solutions.
- Handle multiple priorities while meeting deadlines in a dynamic environment.
- Perform other administrative and operational duties as assigned.
Qualifications
Education
- Bachelor’s degree in business administration or a related field preferred.
Experience
- Five or more years of experience supporting senior executives, preferably within the construction, engineering, architecture, or related industry.
- Experience supporting C-suite executives strongly preferred.

Physical Requirements
- Ability to sit for extended periods while working at a computer.
- Occasionally lift or move up to 20 pounds.
- Occasional travel to company offices, project sites, and meetings as needed.

This position is primarily office-based within a professional construction company environment.
