Project Manager, Tenant Coordination
Department: Project Delivery | Status: Full Time | FLSA: Exempt
Reports To: VP of Construction, Operating Assets
Location: Orlando, FL | Schedule: Monday–Friday | Travel: Up to 25%

POSITION SUMMARY
The Project Manager, Tenant Coordination leads tenant improvement and coordination efforts across an office and retail portfolio. This role serves as the primary liaison between leasing, design and construction, tenants, contractors, property management, and internal stakeholders to ensure efficient project delivery from design through buildout.

ESSENTIAL FUNCTIONS

Tenant Coordination & Project Management

  • Manage tenant improvement projects from design through construction completion, ensuring accurate documentation, timely responses, and adherence to project requirements.
  • Serve as the primary point of contact for tenants, leasing, design and construction teams, contractors, and vendors throughout the project lifecycle.
  • Develop and negotiate tenant work letters defining landlord and tenant responsibilities to support lease execution and delivery.
  • Review and coordinate tenant design submissions to ensure compliance with building standards, timelines, and lease requirements.
  • Support permitting and inspection processes by coordinating with local agencies and assisting tenant teams through approvals.
  • Coordinate contractor onboarding, pre-construction activities, and day-to-day tenant construction.
  • Prepare lease exhibits and project documentation, including design and construction criteria and signage requirements.
  • Manage multiple tenant improvement projects concurrently across various property types.
  • Oversee TI budgets, reimbursement requests, and project closeout documentation, including financial reporting and budget adjustments.

Construction & Compliance Oversight

  • Oversee all phases of construction from feasibility through closeout, ensuring quality, compliance, and adherence to approved plans.
  • Review and approve shell and tenant construction drawings, permits, and zoning requirements.
  • Develop and manage project schedules, including tenant delivery timelines.
  • Conduct site visits to monitor progress, workmanship, safety, and code compliance.
  • Coordinate utilities, site access, and construction logistics.
  • Ensure contractor compliance with insurance, licensing, and permit requirements.

Stakeholder Communication & Documentation

  • Facilitate communication across internal teams (leasing, legal, asset management, property management) and external stakeholders.
  • Prepare and maintain project reports, schedules, contracts, permits, and as-built documentation.
  • Partner with asset and property management teams to minimize disruption to existing tenants.
  • Develop and maintain tenant coordination standards and guidelines.

Skills & Abilities

  • Experience managing construction and tenant improvement projects from design through closeout.
  • Ability to review and coordinate construction drawings and technical documents.
  • Proficiency in scheduling, budgeting, and cost control.
  • Knowledge of building codes, permitting, and inspection processes (Orlando/Orange County preferred).
  • Strong proficiency in project management and office software tools.
  • Ability to coordinate utilities, logistics, and vendor activities.
  • Strong written and verbal communication skills.
  • Experience with sustainability and green building practices preferred.

Education & Experience

  • Bachelor’s degree in real estate, Construction Management, Architecture, Engineering, or related field preferred.
  • Minimum 5 years of project management experience in construction or real estate development.
  • Proficiency in Microsoft Excel, Word, and PowerPoint.

WORK ENVIRONMENT & PHYSICAL REQUIREMENTS
This role is primarily office-based with regular site visits to office, retail, and mixed-use properties. Responsibilities may include walking job sites, occasional lifting (up to approximately 20 pounds), and periodic travel, including overnight stays. The position requires the ability to navigate active construction environments safely.
