Responsible for coordinating parts work order flow, scheduling, material availability, order prioritization, parts pulling, final TQC inspection, documentation, and shipment readiness. The Parts Scheduler monitors on-time delivery, expedites, shortages, and order status from Customer Service through completion while supporting the physical preparation and inspection of parts orders. The role works closely with Customer Service, Production, Quality, Warehouse, and Shipping to ensure customer requirements are met. Responsible for compliance with applicable quality standards, including ISO 13485 and FDA Quality System Regulations (QSR).
PRINCIPAL JOB DUTIES & RESPONSIBILITIES:
Coordinate parts work order flow from Customer Service through pulling, inspection, completion, and shipment, including printing, scanning, delivering, updating, prioritizing, and monitoring orders.
Review work orders for special options, seating requirements, 100% inspection, Built-4-Me content, bulk or spike orders, service parts, bundled orders, and other customer-specific requirements.
Prepare complete work order and manufacturing documentation packages and maintain accurate scan tracking and order status in JD Edwards (JDE).
Pull, stage, and assemble parts in accordance with the work order, Parts Master List, drawings, work instructions, and department procedures.
Perform final TQC inspection of parts orders to verify identity, quantity, configuration, workmanship, documentation, and compliance to the work order.
Complete required QC checks, documentation signoffs, scanning, backflushing, and inventory transactions in JDE.
Identify and assist in resolving quality issues, shortages, incorrect components, documentation discrepancies, and other conditions that may prevent shipment.
Monitor on-time delivery, expedite requests, late orders, and customer priorities. Investigate causes of delay and communicate status to Customer Service and affected departments.
Take action to prevent late orders by tracking work orders, identifying shortages, escalating material issues, and coordinating parts through Quality and Warehouse as required.
Follow up on expedite emails and order-status requests and provide timely, accurate updates.
Prepare completed parts orders for shipment and ensure customer requirements, labeling, packaging, and delivery commitments are met.
Maintain communication with Customer Service, Production, Quality, Warehouse, Shipping, and other support functions regarding priorities, shortages, holds, and completion status.
Assist Customer Service with parts-order questions and provide accurate information regarding order progress and availability.
Participate as a member of a self-managed team and support rotating responsibilities such as safety activities, broadcasts, expedites, material handling, and area organization.
QualificationsREQUIRED SKILLS, KNOWLEDGE AND EXPERIENCE:
High School Diploma or GED is preferred.
Basic computer skills, including working knowledge of Microsoft Outlook, Word, and Excel.
Knowledge of JD Edwards (JDE), work order scanning, inventory transactions, or backflushing is preferred.
Ability to read and comprehend work orders, Parts Master Lists, drawings, correspondence, work instructions, manuals, policies, procedures, and safety documentation in English.
Ability to organize multiple priorities, recognize order dependencies, and maintain accurate records in a fast-paced production environment.
Strong customer focus with effective verbal and written communication skills.
Ability to identify part shortages, order discrepancies, quality concerns, and schedule risks and escalate them appropriately.
Ability to work independently and collaboratively across Customer Service, Production, Quality, Warehouse, and Shipping.
Regular attendance is required.
Must be able to work overtime as required.
