Position Summary:
The HR Coordinator provides essential day-to-day administrative and operational support to the Human Resources department. Reporting to the Director of Human Resources, the HR Coordinator plays a key role in maintaining the efficiency, accuracy, and compliance of HR operations, serving as a reliable point of contact for employees on routine HR matters. This role focuses on recruiting logistics, onboarding development and execution, HRIS data integrity, records management, and general departmental coordination. The HR Coordinator works closely with the Director of HR and, as needed, coordinates with the HR Consultant to ensure seamless delivery of HR programs and services.

Primary Responsibilities:

Recruiting & Onboarding

  • Facilitates the recruiting logistics process, including posting open positions to external job boards, coordinating interview schedules, communicating with candidates, distributing materials to search committees, and maintaining applicant tracking records.
  • Continuously evaluates the Institutes onboarding program, implementing enhancements to ensure an efficient, consistent, and engaging onboarding experience for all new employees.
  • Executes the administrative components of the Institute's onboarding program, including preparing new hire paperwork, coordinating orientation logistics, and ensuring a positive and complete new-hire experience.
  • Processes new hires, status changes, and terminations in coordination with payroll and the HRIS system.

HRIS, Data & Records Management

  • Serves as a key administrator of BambooHR, responsible for all data entry, ongoing data maintenance, and system accuracy; performs routine audits to ensure data quality and process effectiveness.
  • Maintains the department's filing and retrieval system for historical and current human resources records, ensuring compliance with applicable recordkeeping requirements.
  • Prepares HR reports, surveys, and data summaries to support the Director of HR and the Director’s Office in workforce analysis and decision-making.

Compliance & Operational Support

  • Prepares documentation requested or required by government and regulatory agencies, including materials related to workers’ compensation, unemployment processes and EEO data collection.
  • Supports compliance efforts by maintaining accurate records and assisting with audits and reviews of HR processes, documents, and workflows.
  • Serves as a first point of contact for employees with routine payroll and benefits questions, providing accurate information and triaging inquiries to the Director of HR or the payroll/finance team.
  • Assists the Director of HR in communicating HR policies and procedures to employees and responds to general employee inquiries, escalating complex or sensitive matters appropriately.
  • Completes monthly benefit invoice reconciliation for various providers.
  • Serves as the Performance Assessment champion; communicating to staff and initiating the assessment process biannually, troubleshooting questions or concerns and ensuring completion compliance.

Culture & Engagement Support

  • Supports data collection and analysis efforts to evaluate Clark culture, identify trends, and contribute to employee morale and retention initiatives.
  • Assists with the coordination of employee engagement programs, recognition efforts, and internal HR communications.
  • Participates in and supports DEIA-related initiatives as directed by the Director of HR.

General

  • Maintains strict confidentiality and applies consistency and fairness in the handling of all HR-related matters.
  • Maintains professional knowledge by staying current on HR best practices, employment law basics, and relevant regulatory changes.
  • Other duties as assigned.

Qualifications:

Education, Training, and Skills

  • Bachelor’s degree preferred, or an equivalent combination of education and experience in human resources, business administration, or a related field.
  • Proficiency in Microsoft Office Suite required; experience with HRIS systems strongly preferred.
  • Working knowledge of employment law basics and HR regulatory requirements; ability and commitment to staying current as requirements evolve.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities accurately and within deadlines.
  • Excellent written and verbal communication skills; strong interpersonal and customer service abilities.
  • Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.

Work Experience

  • Minimum of 5 years of experience in an HR support, administrative, or related role preferred.
