Are you looking for a great opportunity to learn and grow in the field of healthcare?
SSM Health is offering a full time Medical Assistant Registered Apprenticeship Program in partnership with Madison College and the Wisconsin Department of Workforce Development Bureau of Apprenticeship Standards.
Open to both current SSM employees and those external to the organization.
Students will receive paid on-the-job training with SSM Health, as well as paid instruction throughout the apprenticeship. This is a full-time 18-month commitment.
The 18-month program includes 3 semesters of coursework and on-the-job training equaling approximately 40 hours per week M-F.
ELIGIBILITY REQUIREMENTS:
Open to both current employees and those external to the organization
Applicants must have a high school diploma or equivalent
Reside in Wisconsin within a geographic area served by the Workforce Development Board of South-Central Wisconsin (Greater Madison area).
Reliable transportation to SSM Health clinic locations and Madison College campus
Applicants must be willing to sign and agree to the terms of the Wisconsin Department of Workforce Development Apprenticeship Program
APPLICATION PROCESS:
Complete application and screening questionnaire
Selected candidates will be scheduled for an interview with clinic leaders
Complete Madison College registration process and placement test proctored by Madison College to determine final eligibility and selection
COURSE REQUIREMENTS: Madison College Course - Three Semesters of the Medical Assistant Curriculum
PROGRAM DESIGN:
Participants attend all in-person / virtual classroom & clinical sessions on paid work time
Participants will be placed in a clinic that facilities and contributes to learning relevant to the program
Complete all homework assignments outside of the classroom on your own unpaid time
Sign an Employment Agreement to work for SSM Health as a Medical Assistant for at least 2 years (Failure to complete 24 months’ work commitment requires reimbursement for the full cost of program)
All student employees will be paid as follows:
$18.00 per hour base rate for months 1-9
$18.50 per hour for months 10-18
COMPLETION REQUIREMENTS:
Complete all course work and clinical rotations within an 18-month period starting with Madison College classes January 2027.
Maintain a performance rating of “meets expectations” or higher
Maintain a grade of "C" or better in all coursework (non-passing grades may result in program removal)
Meet all On-the Job-Learning competencies
Upon completion, apprentices are expected to register and pass the Certified Medical Assistant exam.
POST COMPLETION:
Graduates will be invited to apply for a Medical Assistant role upon successful completion

Job Summary:
Creates an environment that is customer focused and professional by providing support to nursing and patient support team.
Job Responsibilities and Requirements:
PRIMARY RESPONSIBILITIES
Routinely assists provider with patient exams, prepares exam rooms for specific procedures and assists with specific procedures. Accurately maintains appropriate log books and may monitor pharmaceutical sample cabinets for outdates.
Maintains patient medical record by verifying patient information upon each visit including: first/last name, date of birth, address, insurance information, and guarantor, filing/scanning all documents into the correct patient's medical record and in the proper location, and providing new patients with required registration forms for completion.
Aids in the care of the patient by notifying patients of normal test results, lab orders, returning patient phone calls, scheduling patients for testing, procedures, prescription refills, and referral appointments in a timely manner. Administers medications safely and accurately with supervision.
Collects clinical information correctly by interviewing patient at each visit and recording in medical record, preparing reports for provider to review, collecting clinical information from agencies, referring providers, hospital department, and properly documenting in medical record.
Routinely services patients by supplying correct information to insurance companies, maintaining confidentiality of patient information at all times, and releasing patient information only if appropriate consent is obtained.
Performs clinical duties by obtaining vital signs and accurately documenting in medical records, collecting and processing specimens, and depending on ministry, performing phlebotomy skills as indicated by completion of training and competency.
Maintains exam rooms by cleaning and stocking rooms as necessary, ordering supplies, preparing non-disposable instruments for sterilization.
Schedules patient appointments/rescheduling and cancelling appointments as necessary. Processes incoming phone calls, by answering promptly and directing call to appropriate person. Takes accurate messages and delivers message or tasks to appropriate person.
Depending on ministry, may assist in the billing process by collecting and posting payments for services, balancing cash drawer by counting cash on a daily basis, preparing superbills with proper information prior to appointment, updating financial and personal information.
Files/scans all documents into the correct patient medical record and in the proper location within the medical record as required by office guidelines.
Works in a constant state of alertness and safe manner.
Performs other duties as assigned.

REQUIRED PROFESSIONAL LICENSE AND/OR CERTIFICATIONS
Resuscitation Certification Requirement: Basic Life Support Healthcare Provider (BLS HCP) required within 90 day of employment. Other resuscitation certifications may be required dependent on department.
