Job Summary:
We are looking for a detail-oriented, tech-savvy HR Coordinator to join our growing HR team. In this role, you will play a critical part in keeping our department running smoothly by managing the lifecycle of our employee leaves, ensuring accuracy in our benefits reconciliation, and supporting our talent acquisition pipeline. This position requires a high degree of organizational skill, a strict adherence to compliance, and a collaborative spirit.
Job Responsibilities are:
Leave & Accommodation Management: Act as the internal point person for all employee leaves of absence, including FMLA, non-FMLA, pregnancy leaves, and ADA accommodation requests.
Interactive Process Management: Manage the good-faith "interactive process" for federal ADA and Pregnant Workers Fairness Act (PWFA) requests, ensuring accurate medical documentation is collected minimally and stored securely in standalone medical files separate from standard HR folders.
Benefits & Payroll Reconciliation: Enter new hires into Employee Navigator, audit weekly timecards, and carefully reconcile monthly benefit invoices against payroll deductions to ensure zero errors. Act as backup to HR Asst for preparing Monthly Benefit meetings.
HR System & File Management: Maintain pristine digital HR files for our clinical staff (RBT2s to BCBAs, approx. 75 files), auditing new hire documentation and ensuring absolute accuracy of I-9 forms.
Credentialing & Certification Oversight: Partner with administrative assistants to track and audit clinical certifications across the organization, ensuring 100% compliance.
Recruiting & Onboarding Support: Assist our primary recruiter by sourcing and interviewing behavior therapists. Act as the primary backup facilitator for our weekly New Hire Orientation.
Data & Compliance Support: Enter and manage employee lifecycle data within ADP Workforce Now. Assist the HR Director with updating job descriptions and company policies.
What We’re Looking For (Qualifications):
Experience: 2–4 years of progressive Human Resources experience. Prior experience in a healthcare or behavioral health (ABA) setting is a massive plus.
Tech Stack: Direct experience utilizing ADP Workforce Now and Employee Navigator. MACBook, Google Suite (Google Calendar, Sheets, Docs) (or highly equivalent HRIS/Benefit enrollment platforms) is preferred.
Compliance Knowledge: Solid foundational understanding of employment laws regarding FMLA, ADA, and I-9 verification rules.
The Details Matter: You are someone who genuinely enjoys auditing data, catching discrepancies in billing, and keeping digital structures organized.
Tri-Layer Leave Expertise: Deep operational understanding of the intersection between FMLA, ADA, and PWFA (including the distinction between a "serious health condition" and a "disability"). Must understand how to evaluate leave as a reasonable accommodation even if an employee does not qualify for federal FMLA.

Communication: Frequently communicates with employees, job applicants, and external benefits vendors regarding leaves of absence, open enrollment, and clinical certifications. Must be able to accurately exchange, comprehend, and convey detailed information in these scenarios.
Visual/Cognitive Perception: Must be able to detect, recognize, inspect, and evaluate complex digital records, spreadsheet data, and legal compliance documents (such as Form I-9s).
Lifting: Occasionally moves or transports office supplies, new hire orientation materials, or physical personnel files weighing up to 15 pounds.
Work Environment:
This position operates in a office environment with moderate to loud noise levels. This role routinely uses standard office equipment such as computers, phones, and photocopier, scanner.
