Penn Psychiatric Center is seeking an energetic, compassionate, and highly organized Office Administrator to join our growing outpatient behavioral health practice in Phoenixville, Pennsylvania.

This is a full-time, in-person opportunity for someone who enjoys working with people, thrives in a fast-paced healthcare environment, and is looking to build a long-term career with a clear path for professional growth.

The role begins with primary responsibility for front-office operations, patient experience, and administrative coordination. As you gain experience with our practice, systems, and culture, you will have the opportunity to take on increasing leadership responsibilities, including supervising front-office operations, training and mentoring team members, improving office workflows, and supporting overall practice management.

Primary ResponsibilitiesPatient Experience & Front Office
  • Welcome patients, visitors, and providers with professionalism and compassion.
  • Answer and manage a multi-line telephone system.
  • Schedule appointments and coordinate provider calendars.
  • Verify insurance eligibility and obtain prior authorizations.
  • Collect patient co-payments and outstanding balances.
  • Coordinate referrals and follow-up appointments.
  • Maintain accurate patient records within the electronic medical record (eClinicalWorks experience preferred).
  • Respond promptly and professionally to patient inquiries.
  • Deliver a concierge-level patient experience through exceptional customer service.
Office Administration
  • Coordinate daily office operations and workflow.
  • Maintain an organized, efficient, and professional office environment.
  • Support provider scheduling and administrative coordination.
  • Monitor office supplies and maintain inventory.
  • Assist with reports, spreadsheets, and administrative projects.
  • Coordinate communication between providers, patients, and leadership.
  • Identify workflow improvements and assist with implementing new processes.
  • Support practice growth initiatives and special projects.

    • Experience using eClinicalWorks (eCW) or another electronic health record (EHR) system.
    • Experience with insurance verification, benefits investigation, and prior authorizations.
    • Knowledge of medical terminology and healthcare office procedures.
    • Previous experience training, mentoring, or supervising staff.
    • Associate's or Bachelor's degree in Healthcare Administration, Business Administration, or a related field.
    • Demonstrated interest in professional growth and advancement into a healthcare leadership role.
