For over 20 years, MetroEHS Pediatric Therapy has been a leader in providing integrated pediatric therapy services throughout Southeast Michigan. Our mission is to deliver evidence-based, intensive, multidisciplinary, and collaborative pediatric therapy that empowers children and their families to achieve their fullest potential. Your Impact 

As a Clinic Support Specialist at MetroEHS Pediatric Therapy, you will:  

  • Create a Welcoming First Impression - You’ll greet families at the door, guide them to the waiting area, and ensure all intake paperwork and questionnaires are completed—setting the tone for a professional, caring experience.
  • Support Therapist–Family Communication - When parents are delayed, you’ll stay with clients, keep them engaged, and proactively contact family members—helping maintain continuity of care and peace of mind.
  • Streamline Information Flow - By processing, sorting, and routing mail, email, and faxes for Speech and OT staff, you ensure that critical referrals, reports, and updates reach the right people without delay.
  • Optimize Schedules - You’ll coordinate client appointments, manage staff meetings, and sync therapists’ availability—maximizing productivity and minimizing downtime.
  • Manage New Client Onboarding - From paperwork through patient-portal setup in our EMR, you guide new families through every step—ensuring a smooth, compliant start to services.
  • Enhance Therapy Preparation - You’ll prepare materials, tidy therapy rooms, and support clients and parents as directed—enabling therapists to focus fully on effective intervention.
  • Maintain Authorization and Billing Readiness - By communicating with case managers and insurers to add and update service authorizations, you keep treatment plans active and minimize payment interruptions.
  • Oversee Clinic Supplies - Monitoring inventory and fulfilling supply orders or pickups ensures that therapists always have the tools they need to deliver quality care.
  • Execute Essential Administrative Tasks - Through filing, data entry, record updates, competitive research, and other duties, you keep our operations running smoothly and our data accurate.
  • Contribute to Team Success - You’ll take on additional projects as assigned by the Regional Operations Manager, Clinic Director, or Clinical staff—bringing flexibility and initiative to every aspect of clinic life. 

Qualifications

  • Associate’s Degree required
  • 1-3 years of relevant experience, i.e.: office management, experience with children, &/or children with disabilities
  • Outstanding organizational skills
  • Ability to work with children, parents and/or people with disabilities
  • Ability to manage time effectively and prioritize tasks appropriately with strong attention to detail
  • Excellent communication and interpersonal skills
  • Committed to providing exceptional customer service
  • Proficient computer skills and able to operate general office equipment (printer, fax etc.) required
  • CPR certification required
  • Proficiency in Microsoft Office 365 required

Physical & Environmental Requirements

  • Prolonged Sitting and Desk Work: Remaining seated for extended periods (up to 6+ hours per day) while performing computer-based tasks, filing, scheduling, and data entry. 
  • Frequent Computer Use & Fine Motor Skills: Continuous use of keyboards, mice, and other office equipment; tasks require precise finger dexterity for typing, filing, and handling small office supplies.
  • Visual Acuity Requirements: Ability to read printed materials and computer screens for data entry, document review, and patient records.
  • Telephone & Verbal Communication: Constant phone interaction; clear speech and active listening are essential for scheduling appointments, addressing inquiries, and coordinating with clinical staff.
  • Light to Moderate Lifting: Lifting and carrying office supplies, paper reams (up to 20 lbs), patient folders, small equipment, or mail bins; occasional need to move office furniture or equipment.
  • Mobility within Facility: Walking between offices, therapy rooms, and other areas; negotiating stairs or uneven flooring; ability to navigate a busy, sometimes crowded reception area.
  • Stressful or Fast-Paced Environment: Managing multiple administrative tasks and patient needs concurrently; ability to prioritize under pressure and maintain composure during peak periods.
  • Shared Workspace & Open Office Setting: Working in cubicles or open-plan areas, which may include background noise from phones, printers, or conversations.
  • Exposure to Common Office Hazards: Potential for paper cuts, minor repetitive strain injuries (e.g., carpal tunnel), and ergonomic risks—requires adherence to proper workstation setup and occasional use of ergonomic aids.
  • Compliance with Infection Control Practices: Regular hand hygiene, occasional use of gloves or masks when handling patient documents or escorting patients, and adherence to office sanitization protocols.
  • When interacting and assisting with clients:
    • Active & Engaged Work – Kneeling, bending and playing at ground level.  
    • Hands-On Support – Lifting up to 50+ lbs may be required.  
    • Quick Reflexes – Ability to respond to behaviors such as elopement (running away) or aggressive actions.  
    • Loud or Noisy Environments – Working with active children in dynamic settings.  
    • Potential Exposure to Bodily Fluids – Assisting with hygiene or accidental incidents.

Compensation 

  • $18-$22/hour commensurate with experience and qualifications
