Position Summary

The Client Services Representative & Administrative Assistant is a hybrid role responsible for delivering exceptional customer service while providing administrative support to company leadership. Approximately 75% of this role is dedicated to Client Services responsibilities and 25% to Administrative Assistant duties.

This position serves as an important point of contact for physicians, patients, clients, and internal stakeholders by ensuring timely communication, issue resolution, and coordination of laboratory services. In addition, the role provides administrative support to members of the leadership team, including the CEO, by assisting with scheduling, travel arrangements, expense reporting, and other administrative functions.

The ideal candidate is highly organized, detail-oriented, customer-focused, and capable of managing multiple priorities in a fast-paced healthcare environment.

Key Responsibilities

Client Services Responsibilities (Approximately 75%)

  • Effectively communicate both verbally and in writing with physicians, patients, and internal and external clientsregardinglaboratory test availability, test results, specimen requirements, and service-related inquiries.
  • Respond to client calls, emails, and requests with professionalism, empathy, urgency, and accuracy.
  • Resolve service-related issues, including Test-In-Question (TIQ) cases, using company systems and resources.
  • Coordinate specimen pick-up and delivery arrangements nationwide.
  • Maintainaccuratephysician, patient, and client records across multiple systems and platforms.
  • Document all interactions and actions in compliance with CAP, CLIA, HIPAA, and company policies.
  • Escalate unresolved issues, concerns, or service disruptions to leadership asappropriate.
  • Monitor andmaintaindepartmental performance metrics while delivering Best-in-Class customer service.
  • Support sales team members as needed.
  • Participate in special projects and cross-functional initiatives that improve customer experience and operational effectiveness.
  • Contribute positively to team culture and organizational success.
  • Perform other duties as directed.

Administrative Assistant Responsibilities (Approximately 25%)

  • Provide administrative support to members of the executive leadership team, including the CEO.
  • Coordinate and manage calendars, meetings, and appointments.
  • Schedule and coordinate travel arrangements, including flights, hotels, transportation, and itineraries.
  • Prepare and process expense reports and reimbursement requests.
  • Coordinate internal meetings andmaintainmeeting schedules.
  • Assistwith special projects, event coordination, and operationalinitiatives asassigned.
  • Handle sensitive and confidential information with professionalism and discretion.
  • Perform other duties as directed.

Qualifications

Required Qualifications

  • Associate degree or equivalent combination of education and experience.
  • Minimum of 2 years of customer service, administrative support, or related experience.
  • Strong verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Proficiencywith Microsoft Office Suiteand virtual meeting platforms.
  • Strong problem-solving and interpersonal skills.
  • Ability tomaintainconfidentiality and exercise sound judgment.

Preferred Qualifications

  • Bachelor’s degree in a related field.
  • Experience in healthcare, laboratory diagnostics, or medical services.
  • Previousexperience supporting executives or senior leadership.
  • Familiarity with HIPAA, CLIA, and CAP standards.
  • Experience with CRM, customer service, or laboratory information systems.
  • Experience withtravelandexpense systems.

Work Environment

This is a hybrid position that requires regular onsite attendance and collaboration with team members while offering flexibility for remote work based on business needs. The position requires prolonged periods of sitting, frequent computer use, and regular communication with clients, patients, and internal stakeholders.
