About the role
To provide comprehensive administrative and operational support to the Executive Director – Legal & Compliance in ensuring the Group remains fully compliant across all jurisdictions in which it operates.
The role supports the legal, compliance, corporate governance, finance and administration functions of the Group across Europe and the USA. The successful candidate will assist with company compliance, client onboarding platforms, entity management, employee and subcontractor onboarding, posted worker compliance, project mobilisation and statutory obligations, while liaising with external lawyers, accountants, payroll providers, government authorities and internal stakeholders.
What you'll do
Provide day-to-day administrative and operational support to the Executive Director – Legal & Compliance.
Assist in managing the Group's legal and compliance activities across Europe and the USA.
Coordinate the incorporation, registration and onboarding of new Group entities in various jurisdictions.
Assist with maintaining the compliance of all Group companies, including statutory filings, licences, registrations and corporate records.
Coordinate employee, posted worker, agency worker and subcontractor onboarding, ensuring compliance with local legal, employment and client requirements.
Assist with Posted Workers Directive (PWD) notifications, A1 Certificates, social security registrations and other cross-border employment documentation.
Manage client onboarding platforms, supplier qualification systems and compliance portals, ensuring documentation remains accurate and up to date.
Prepare and maintain compliance documentation required by clients, including insurance certificates, company registrations, policies, licences, certifications and statutory documents.
Support project mobilisation by coordinating legal, compliance and administrative requirements before works commence.
Maintain compliance calendars and monitor renewal dates, filing deadlines and regulatory obligations.
Coordinate with external lawyers, accountants, payroll providers, tax advisers and company secretarial service providers across multiple jurisdictions.
Assist with VAT registrations, tax registrations and other corporate registrations where required.
Support finance administration by assisting with supplier onboarding, customer compliance documentation and other administrative finance activities.
Maintain entity management systems, compliance registers and document management systems.
Assist in preparing audit documentation for clients, certification bodies and external auditors.
Monitor compliance issues and assist in implementing corrective actions.
Draft, maintain and update internal procedures, compliance guidance and operational documentation.
Liaise with government authorities, regulatory bodies, clients and external advisers.
Assist with contract administration and corporate governance matters.
Support business expansion projects into new jurisdictions.
Carry out additional legal, compliance, finance and administrative duties as reasonably required
What you'll need
Essential
2+ years previous experience in compliance, legal administration, finance, accounting, business administration or a similar role.
Excellent organisational and administrative skills.
Strong attention to detail and accuracy.
Ability to manage multiple tasks and priorities simultaneously.
Excellent written and verbal communication skills.
Strong Microsoft Office skills, particularly Excel, Word and Outlook.
Ability to work independently and use initiative.
Professional approach with the ability to handle confidential information.
Desirable
Experience supporting international or multi-jurisdictional businesses.
Knowledge of corporate governance or company administration.
Experience with client compliance platforms and supplier prequalification systems.
Experience with Posted Workers Directive (PWD) compliance or international employee mobility.
Experience in the construction, engineering or infrastructure sectors.
Experience working with ERP, accounting or document management systems.
A qualification, or working towards a qualification, in law, compliance, business administration, finance or accounting.
Additional European language skills would be advantageous.
