The Certified Medical Assistant / Patient Services Coordinator plays a dual role at the front of the patient experience and within the clinical support team for Kolmac's Partial Hospitalization Program (PHP) and related levels of care. This role works closely with healthcare providers, patients, and families — serving as the first point of contact for scheduling, check-in, and administrative support, while also assisting with medical intake, medication support, and clinical monitoring under the direction of the clinical team. Flexibility and reliable transportation are essential, as this role may support multiple facilities.

Schedule: Monday - Friday 10am-6pm
Pay: $25.00/hour
Essential Duties and Responsibilities
Patient Services & Front Desk
Manage scheduled appointments by checking in patients and alerting clinical staff to patient presence; direct walk-in patients to the appropriate staff member
Manage all incoming telephone calls, representing the agency as the first point of contact with a professional, pleasant demeanor; route calls, messages, and deliveries to the appropriate staff in a timely manner
Collect relevant patient information at check-in and maintain HIPAA compliance at all times
Manage co-pay and self-pay collection for patient visits, including documenting amounts received and notifying patients of outstanding balances
Follow established systems and procedures, including operating practices, record-keeping systems, forms control, and budgetary requirements
Manage the waiting area milieu by observing the safety and well-being of patients and visitors; alert clinical staff to situations requiring intervention
Maintain cleanliness and order of the front desk and waiting room areas
Clinical & Medical Assistant Support
Receive clinical alerts and ensure adherence to patient restrictions, including toxicology screens and scheduled appointments with clinical staff
Assist in the intake process for new patients, including obtaining medical histories and vital signs
Administer injections (e.g., intramuscular, subcutaneous) as prescribed and monitor patients for side effects or adverse reactions
Assist in preparing and organizing daily medication dispensing for patients, ensuring accurate dosage and documentation
Monitor patients post-injection or medication administration for immediate reactions and report concerns to the clinical team
Track and manage medication inventories, ensuring adequate supplies are maintained and expiration dates are monitored
Perform routine laboratory tests, including urine drug screens, and maintain accurate documentation of results
Manage the availability of patient charts between care providers on the day of intake; ensure UA and BAC records are retained and available for care providers
Support the clinical team in the delivery of comprehensive care, including coordinating patient services and referrals as needed
Provide compassionate support and education to patients and families regarding treatment plans, medications, and coping strategies
Facilitate communication between patients and healthcare providers to ensure continuity of care
Assist in the preparation and organization of patient care plans, documenting patient progress and updates
Ensure clinical equipment is clean, functioning properly, and in compliance with safety standards
Collaborate with interdisciplinary teams — physicians, therapists, counselors, and nursing staff — to implement treatment plans effectively
Ensure clinical areas are stocked with personal protective equipment (PPE) and other essential materials
Assist in setting up group therapy or educational sessions, including organizing materials and patient seating
Provide immediate support during patient crises, including de-escalation and stabilization, under the direction of clinical staff
Recognize signs of overdose, withdrawal complications, or psychological distress, and promptly alert the appropriate medical professionals
Take attendance and support clinicians during sessions by managing patient questions and distributing educational handouts

Qualifications — Education and Experience
Must Haves
High school diploma or equivalent required; Associate degree in medical assisting or a related field preferred
Current certification as a Medical Assistant (CMA) from a recognized credentialing agency
Basic Life Support (BLS) certification required
Applicable state licensure/certification for the assigned location (e.g., Virginia and/or Washington, DC)
Minimum of 1–2 years of experience as a medical assistant in a healthcare setting, preferably in behavioral health or addiction treatment
Three-plus years of experience in a medical office, hospital, or similar patient-facing customer service environment; five-plus years preferred
Experience administering injections and performing related clinical tasks
Working knowledge of medical insurance plans, billing, and regulations
Strong knowledge of and advanced experience with Microsoft Office products, with the ability to become familiar with firm-specific programs and software
Excellent verbal and written communication, professional telephone manner, and interpersonal skills to interact with patients, families, members of the health care team, and external agencies
Ability to multi-task and adapt to changing priorities
Ability to act with integrity, professionalism, and confidentiality
A high degree of personal motivation and drive to achieve personal and professional goals
