SUMMARY

The Operations Assistant supports the daily operations of The Thoroughbred Center by assisting with daily operations, administrative duties, facility access, utility monitoring, inventory management, trainer communications, stall billing, and timed workout reporting. This position also provides backup coverage for the clocking staff during vacations, scheduled days off, and other absences.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Provide clocker coverage during vacations, scheduled days off, and other absences. 
  • Assist clockers with recording timed workouts and entering workout information into Equibase. 
  • Notify trainers of track closures, schedule changes, and other important track updates. 
  • Help monitor and maintain TTC’s horse inventory system through InCompass. 
  • Assist with monthly stall billing, including reviewing records and entering accurate billing information. 
  • Read and record water meters for Barns C–H each month. 
  • Complete the monthly shavings inventory and empty stall count each month. 
  • Issue and manage PaL gate-access cards for individuals requiring after-hours access. 
  • Reset internet equipment following service outages and contact the internet service provider for assistance when needed. 
  • Contact Kentucky Utilities to report power outages and receive service updates. 
  • Sort and deliver mail to trainers at TTC. 
  • Responsible for collecting and maintaining horse health documentation, including current Coggins tests and health certificates for horses arriving at The Thoroughbred Center.
  • Maintain an inventory of trailers parked on TTC property and monitor their status. 
  • Identify abandoned or unauthorized vehicles and trailers, properly sticker them, document the required information, and assist with the removal process. 

 

QUALIFICATIONS

  • Strong organizational skills and attention to detail. 
  • Basic computer and data-entry skills. 
  • Ability to communicate professionally with trainers, employees, utility providers, and visitors. 
  • Ability to work independently and complete recurring responsibilities on schedule. 
  • Ability to maintain accurate records and handle sensitive access information responsibly. 
  • Knowledge of Thoroughbred racing and timed workouts is preferred, but training may be provided. 

 

EDUCATION AND EXPERIENCE

  • High school diploma or equivalent required. 
  • Associate degree in Business Administration, Equine Studies, Agriculture, or a related field preferred. 
  • Equivalent combination of education and relevant experience may be considered. 

 

CERTIFICATES, LICENSES, REGISTRATIONS

A valid driver’s license and a Kentucky Horse Racing Commission License is required upon hire.
