The team you will be part of

Intrepid is currently looking for an Affiliate Administrator to play a key administrative role in supporting the Social Commerce team and Finance team, and provide an important link between the Intrepid and our clients and partners. Your daily responsibilities include reconciliation and claim-back processing, paperwork and administrative tasks, as well as receptionist-related duties

Responsibilities:

• Align with internal Social Commerce, Admin & Finance team during process of contract reviewal which includes, but not limited to: composing draft contract - collaborating with internal Social team and clients for adjustment before final draft - getting approval - preparing final template for signatures from managers - sharing hard copies to clients in a timely manner
• Be in charge of sorting, filing, and maintaining important documents, including contracts, monthly acceptance records, and sales reports
• Prepare monthly data reconciliation with clients and internal teams for Social Commerce services (including Affiliate, Livestream & Video)
• Send invoices and track closely with clients to ensure payment of invoices on due date
• Chase overdue payments
• Produce monthly reports or ad hoc reports per request from manager
• Work closely with internal teams to address and resolve issues related to monthly reconciliation, ensuring smooth process execution and client satisfaction
• Collaborate with Affiliate team and other internal teams as needed on projects assigned by manager
• Coordinate office activities and operations to secure efficiency and compliance to company policies
• Receptionist:
• Welcome and assist visitors, candidates, and business partners
• Manage visitor registration and access procedures.
• Receive and distribute mail, packages, and deliveries.
• Support guest arrangements for meetings.
• Maintain a professional and organized reception area.
• Coordinate with relevant teams to support visitors and resolve front desk issues.

• 1+ years of procurement, report and administrative work experience
• Strong attention to details with high accuracy and structured way of working
• Client service mindset
• Track record of cross-functional collaboration and problem solving
• Good interpersonal communication, supportive and can do multi tasks
• Excellent time management skills and ability to adapt and thrive in a fast-paced client-driven start-up and ecommerce environment
• Strong verbal and written communication skills in both English and Vietnamese
• Proficiency in MS Office (MS Excel in particular), good understanding of e-commerce platforms is a plus
