Overview
The Traffic Dispatcher Clerk also known as Window Clerk will coordinate and schedule drivers for pick-up and delivery in a safe, efficient, and timely manner. May be exposed to customers and is responsible for processing cargo bookings or import/export documentation within established deadlines and regulatory requirements. Receives, reconciles, consolidates and/or summarize documents and information from customers.
Responsibilities
Key Responsibilities:
Ensure that all documentation is submitted timely, as required.
Check documents, make necessary corrections, and distribute them to corresponding customers to meet their respective deadlines.
Collects Bills of Ladings for all assigned customers; check the information on all documentation for accuracy and disseminates for processing.
Inform all customers of cargo arrivals/departures, via email/fax with an arrival/departure notice and a copy of the bill of lading. Securing confirmation and file in the master file.
Secure original bills of lading properly endorsed, and delivery orders.
Check that cargo is properly released.
Work hand in hand with truck drivers
Consolidates orders into truckloads for specific destinations.
Coordinate and enter all data into computer system.
Heavy phone communications answering any questions and informing customers of situations.
Performs other related duties as assigned.
Candidate Requirements:
Minimum two (2) years’ experience in Customer Service and Import Documentation required.
High school diploma or equivalent.
Intermediate to advanced experience with MS Word, Excel, Outlook
Moderate to advanced typing skills and 10-key by touch (40-45 wpm)
Advanced communication skills in English in order to communicate with customers.
Ability to follow procedures and instructions.
Ability to establish and maintain effective working relationships with customers and fellow employees.
Ability to exercise independent judgment within established systems and procedures.
Possess organizational and time management skills with the ability to prioritize and be detail-oriented.
Physical Requirements and Working Conditions:
The employee is required to sit for long periods of time and move to and from other locations, within the office and warehouse.
The employee must occasionally lift and/or move up to 10 pounds.
Work is performed primarily in the office.
The employee is occasionally exposed to dust, fumes, and airborne particles, toxic or caustic chemicals.
The noise level in the work environment is usually quiet to moderate.
Must be able to work extended hours, weekends, or holidays, on occasion
Required Skills/Abilities:
Excellent verbal and written communication skills.
Strong organizational skills to prepare and assign routes.
Strong leadership skills to ensure drivers compliance with direction and assignments.
Basic understanding of geographical area and mapping programs to facilitate efficient routing.
Proficient with or able to quickly learn dispatch and recordkeeping systems.
Ability to work at a fast pace and under pressure.
Thorough understanding of shipping industry.
Education and Experience:
High school diploma or equivalent required; Associates degree in Transportation, Logistics, or related field preferred.
At least three years of related experience and execution of similar duties in warehouse/freight operations required.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
