Position Profile
The Shipping Clerk is responsible for the final inspection, packaging, and coordination of outgoing dental cases to ensure accuracy, quality, and on-time delivery. This role serves as a critical last step in the production process, verifying that each case is complete, properly documented, and packaged according to company standards before it reaches the doctor.
The ideal candidate is detail-oriented, organized, and able to work in a fast-paced laboratory environment where precision and turnaround time are essential.

Job Duties and Accountabilities
Shipping Clerk
Case Review & Final Quality Check
Perform a final review of dental cases prior to shipping to ensure:
All components are present in the case pan
Scripts, prescriptions, and invoices match the contents
Case meets company quality and completeness standards
Identify missing items, discrepancies, or quality issues and escalate immediately to production or management
Ensure cases are aligned with doctor instructions before release
Packaging & Shipment Preparation
Carefully package dental restorations (crowns, bridges, dentures, etc.) to prevent damage during transit
Insert all required materials including invoices, prescriptions, and support documentation
Ensure cases are protected using proper packing materials and techniques
Prepare shipments based on delivery method (courier, mail, pickup, etc.)
Labeling & Documentation
Ensure all delivery boxes are labeled correctly and clearly, including:
Doctor/practice information
Case identification numbers
Shipping method and destination
Generate and verify shipping labels and documentation
Maintain accurate shipping logs, tracking, and records as required
Shipping Coordination & Workflow
Organize and stage cases for pickup to ensure on-time daily shipments
Coordinate with production, case entry, and customer service teams to prioritize urgent or rush cases
Assist in tracking outgoing shipments and confirming carrier pickups
Communication & Customer Support
Periodically answer and route calls using a multi-line phone system
Respond to internal and external shipping-related inquiries
Communicate delays, errors, or concerns to appropriate team members
Inventory & Supply Support
Monitor and restock shipping supplies (boxes, labels, packing materials)
Assist in maintaining organization of shipping materials and workspace
Support inventory tracking of outgoing cases and materials
General Responsibilities
Maintain a clean, organized, and compliant work area
Follow all infection control, safety, and handling protocols for dental materials
Assist with receiving, sorting, or distributing incoming cases when needed
Perform other duties as assigned to support lab operations

QualificationsPreferred Qualifications and Experience/Skills:
High school diploma or equivalent
Previous experience in shipping, warehouse, or dental lab environment preferred
Strong attention to detail and organizational skills
Basic computer skills (CRM, shipping software, or lab systems preferred)
Ability to follow detailed instructions and standardized processes
Strong communication and problem-solving skills
Physical and Safety Requirements
Ability to stand for extended periods
Ability to lift up to 25–50 lbs
Frequent use of hands for packaging, labeling, and handling materials
