Job Summary:

The Physician Scheduling Coordinator is responsible for physician staffing and schedule management for an assigned portfolio of specialties and programs. This position matches qualified physicians to new and existing programs, develops and maintains physician schedules, monitors physician capacity and utilization, and identifies staffing risks and recruiting needs.

The coordinator works closely with Account Management, Program Coordination, and Operational Leadership to ensure physician coverage aligns with program requirements, expected patient volume, physician commitments, and implementation timelines.

Essential Duties

Physician Staffing & Program Assignment

• Review approved staffing requirements for new and existing programs with Account Managers, including clinical scope, coverage model, schedule requirements, expected volume, and anticipated start date.

• Communicate program opportunities to qualified physicians and determine physician interest, availability, and alignment with program needs.

• Match and book physicians to programs based on clinical qualifications, availability, physician preferences, and program requirements.

• Document physician interest, assignment status, barriers, and required follow-up in designated systems.

• Coordinate physician assignment handoffs with Program Coordinators and Account Managers.

Schedule Development & Coverage Management

• Create and manage physician schedules for assigned specialties and facilities for release 60 days prior to the start of each month.

• Develop schedules in accordance with established scheduling policies, contractual coverage requirements, physician availability, and minimum shift commitments.

• Escalate staffing risks, scheduling barriers, and unresolved coverage issues to Operations leadership in a timely manner

• Understand physician pod structures, program requirements, facility schedules, and physician skill sets.

• Develop productive working relationships with physicians and maintain awareness of their availability, preferences, qualifications, and program assignments.

• Ensure physician availability is submitted by established deadlines and conduct timely follow-up when information is missing.

• Obtain schedule requirements from PRN partner hospitals and other programs with variable coverage needs.

• Identify and resolve open shifts, coverage gaps, and scheduling conflicts.

• Communicate schedule completion and relevant changes to physicians, partner hospitals, account managers, and other designated stakeholders.

• Flexibility to respond to urgent after-hours scheduling needs may be required.

Systems & Operational Coordination

• Monitor physician capacity, utilization, assignment distribution, and compliance with established minimum shift expectations for assigned specialties.

• Identify current and projected staffing gaps and communicate actionable recruiting needs to Operations leadership.

• Support staffing plans for new programs, program expansions, and changes in coverage requirements.

• Collaborate with Program Coordination and Account Management to monitor physician onboarding and program-readiness status and support timely scheduling of first shifts.

• Provide staffing and scheduling metrics to leadership, including physician bookings, open shifts, schedule completion, utilization, and identified capacity risks.

• Ensure physicians, programs, skill sets, scheduling rules, and assignment information are accurately maintained in QGenda and other designated systems.

• Maintain complete and timely staffing, scheduling, and physician-assignment documentation.

• Provide cross-coverage for other Physician Scheduling Coordinators during absences, vacancies, periods of increased workload, or urgent coverage situations.

Education & Required Knowledge

• Bachelor’s degree in business, healthcare administration, communications, or a related field, or an equivalent combination of education and relevant experience.

• Previous experience in scheduling, staffing, healthcare operations, customer service, account coordination, or another detail-oriented professional environment.

• Demonstrated ability to organize complex information, manage competing priorities, and complete time-sensitive work accurately.

• Proficiency with Microsoft Office, including the ability to maintain and interpret operational tracking reports.

• Strong written and verbal communication skills, including the ability to communicate professionally with physicians, partner hospitals, and internal stakeholders.

• Ability to learn new systems, processes, and healthcare terminology quickly.

Preferred Qualifications

• Experience in complex scheduling, workforce coordination, provider operations, or healthcare operations.

• Experience with QGenda or another workforce or scheduling platform.

• Experience communicating with physicians, healthcare professionals, clients, or other senior-level stakeholders.

Skills & Abilities

• Excellent customer service and organizational skills.

• Must be able to work in a fast-paced environment with multiple deadlines and changing priorities.

• Excellent written and verbal communication skills – this position will involve significant communication with physicians and partner hospitals

• Ability to track nuances with physician availability, credentialing status, and shift availability

• Works to foster a cooperative team environment, assisting other team members as needed.

• Keeps management well informed of area activities and of any significant problems.

• Completes assigned documentation in an accurate and timely manner.

• Assumes responsibility for related duties as required or assigned.

• Strong ability for follow-through, high attention to detail, and persistence

• Flexibility and willingness to take on new tasks with guidance

• Sense of urgency and conflict resolution
