Rental & Loaner Program Coordinator

Carl Black Automotive Group is seeking a customer-focused Rental & Loaner Program Coordinator to join our Orlando team. This position is responsible for supporting our Service Loaner Vehicle Program and ensuring customers receive a seamless, professional experience while their vehicle is being serviced.

The ideal candidate is highly organized, detail-oriented, and comfortable managing administrative tasks, customer interactions, and vehicle documentation in a fast-paced dealership environment. This role requires strong computer skills, excellent communication, and a commitment to providing outstanding customer service.

Key Responsibilities

• Coordinate loaner and rental vehicle assignments for customers receiving service or warranty repairs.
• Assist customers through the rental and loaner vehicle process from check-out through vehicle return.
• Prepare, review, and process rental agreements and related documentation.
• Verify customer eligibility and ensure all required paperwork is completed accurately.
• Inspect vehicles before delivery and upon return, documenting vehicle condition as necessary.
• Maintain accurate records, reports, and vehicle inventory logs.
• Work closely with Service Advisors, Warranty Administrators, and Management to ensure a smooth customer experience.
• Monitor vehicle availability and assist with scheduling loaner vehicle reservations.
• Support the department with clerical and administrative tasks, including filing, data entry, report generation, and record maintenance.
• Utilize Microsoft Excel and dealership software systems to track vehicle usage, agreements, and program activity.
• Deliver a professional, friendly, and customer-centric experience at every interaction.
• Maintain compliance with company policies, manufacturer requirements, and rental program procedures.

Qualifications

• Previous administrative, clerical, customer service, rental, hospitality, or dealership experience preferred.
• Strong organizational and multitasking abilities.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office, including Excel, Outlook, and Word.
• Comfortable learning and utilizing dealership management and rental software systems.
• Strong attention to detail with the ability to accurately process paperwork and maintain records.
• Ability to work independently while contributing to a team-oriented environment.
• Professional appearance and positive attitude.
• Must be at least 18 years old.
• Valid driver's license with an acceptable driving record.
