Title

Patient Coordinator: QuickCare Plus Bronson Battle Creek (PRN)Under general supervision and according to established policies and procedures performs reception duties and serves patients, callers and other departments/offices by greeting and helping them, scheduling appointments, and maintaining records and accounts. Performs a variety of routine duties specific to the assigned department. Performs word processing duties, computer entry, maintains patient records, filing patient information and other related duties as assigned. Employees providing direct patient care must demonstrate competencies specific to the population served.High school diploma or general education degree (GED) and 6-12 months of experience required • Communication • Interpersonal skills • Customer relations skills • Computer skills • Typing skills • Clerical skills • Ability to concentrate • High degree of flexibility • Ability to handle multiple priorities in a stressful situation Work which produces high levels of mental/visual fatigue, e.g., interactive and repetitive or small detailed work requiring alertness and concentration for sustained periods of time, the operation of and full attention to a personal computer or CRT between 40 and 70 percent of the time. Involves considerable standing or walking, regular lifting of light-weight objects (i.e., 20 pounds or less) and assisting with heavier tasks such as assisting in lifting and moving patients. Minor straining or fatiguing positions must be assumed, and some fatiguing physical motions are required. Leadership Proficiencies: • Requires good verbal communication skills to communicate effectively with staff, patients and other departments/offices. • Ability to problem solve events that occur on-site including but not limited to staffing, staffing- related issues and patient- related issues. • Strong attention to detail. • Prioritizes and organizes work to ensure quality and maintains patient satisfaction. • Outgoing personality; comfortable working with all types of patients. • Foresight to see the long-term picture and adapt to changes associated with growth. • Provide input for annual employee performance reviews. • Manage daily staff schedule and sign-off on PTO request before relaying to Clinical Operations Manager. • Prepare clinical/office supply order (or oversee the person who provides this function within the office). • Support PCMH initiatives within primary care practices. • Support JACHO and other regulatory agency compliance. • Active involvement in process improvement process’s within the office. • Collaborate with Clinical Operations Manager as needed on all above as well as other issues related to daily operations. • Other duties as assigned related to the daily operation of the physician practice. Patient Coordinator (Specific) Proficiencies: • Serves as a liaison between patient and medical support staff. • Welcomes patients and visitors by greeting and helping them; scheduling appointments; maintaining records and accounts; coordinating schedules as necessary. • Optimizes patients’ satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone. • Keeps patient appointments on schedule by notifying provider of patient’s arrival; reviewing service delivery compared to schedule; reminding provider of service delays. • Comforts patients by anticipating patients’ anxieties; answering patients’ questions; maintaining the reception area. • Pull patient charts for following day’s appointment verifying that all pertinent tests and lab results are available for review by the physician. Accessing Power Chart for results that have not been returned. Rescheduling appointments for those results that have not been returned that are pertinent to the patients visit, documenting reason for rescheduling appointment. • Pull patient information for Dr. McGrath’s new patients (front desk) from Power Chart for entry into MedAxxis by Patient Coordinator. Interact with Mosaiq to identify new patients. • Maintains patient accounts by obtaining, recording, and updating personal and financial information. • Greets and directs patients and visitors. Directs new patients to meet with Records Coordinator to gather new patient demographics & insurance information. • Answer telephone, screen and direct calls, takes messages and provides information. Assists callers in resolving problems when possible. • Pull charts to be seen the following day (check-in). Work with records coordinator to ensure all pertinent tests and lab results are available for review. • Check in patients (front desk), verify and update necessary information in the medical record. (MedAxxis) • Check patient out (check-out) (working with Medical Assistant) and provide patient with required paperwork. • Maintain work area and patient lobby in neat and orderly manner. • Call patients regarding “no shows”. Call patient and reschedule next appointment. Forward “no-show” information to practice biller for recording of “no show” fees. • File patient charts (check-out), physician’s reports, lab results, correspondence, etc. • Sort and deliver mail (according to office protocol), medical records, and other correspondence. • Maintain practice management system (MedAxxis) schedule for all physicians, following office scheduling policies. • Assist Clinical Operations Manager in prioritizing work activities, evaluating effectiveness and modifying activities when necessary. • Assist Clinical Operations Manager in managing/maintaining physician schedules. • Communicate and cordially work with other staff to ensure efforts are coordinated and a high quality of service is provided. • Completes a variety of clerical duties such as setting up and maintaining patient records, photocopying, obtaining records. • Completes word-processing duties such as preparing envelopes, forms, mass mailings, or dictation distribution. • Performs specific functions unique to the individual department or unit such as compiling data for reports, making appointments, maintaining schedules, retrieving and preparing records and/or materials for use in the department. • Obtains revenue by recording and updating financial information; recording and collecting patient charges, co-pays and payment plan follow-up at the time of patient visit. • Requisitions regularly used office supplies and small equipment repair and maintenance service. Ensures that adequate supplies needed for smooth office operation are available. • Maintains business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies; scheduling equipment service and repairs. • Maintains operations by following policies and procedures; reporting needed changes • Contacts hospital personnel, and in some areas physicians and physician office staff, to resolve problems, clarify information and provide first-line contact for the department. • Works with other departments as necessary to coordinate patient care issues. Other Proficiencies: • Proficiency in MS Office applications, including MS Word and MS Excel desired. (Training available thru BBCH) • Cross-trained to cover basic patient billing inquiries. • Maintains open communication with Clinical Operations Manager regarding front office responsibilities. • Maintains patient and organizational confidentiality. • Supports and abides by all Bronson Battle Creek Hospital safety policies and procedures. • Maintains professional appearance and attitude. • Demonstrates commitment to providing outstanding customer service in a manner that is reflective of the mission, values and customer service standards of Bronson Battle Creek Hospital. • Maintains a working knowledge of applicable Federal, State and local laws and regulations, the Compliance Accountability Program, Code of Ethics, as well as other policies and procedures in order to ensure adherence in a manner that reflects honest, ethical and professional behavior. • Maintains a safe workplace by keeping work area free of hazards and correcting and/or properly reporting any safety hazards. • Uses correct body positioning, proper body mechanics to avoid injury, utilizes safe work practices (e.g. pushing vs. pulling, patient transfer/lifting devices, etc.) and uses personal protective equipment when necessary. • Performs related duties as assigned.
