Strategic Advisory (Consultancy and Data & Insights), 2. Asset Optimisation (Operations and Commercial), 3. Activation & Engagement (Events and Marketing). ROLE OVERVIEW:

We are seeking a highly organised and proactive Vendor Platform, Tender & Opportunity Coordinator to manage our pipeline of public and private sector procurement opportunities across Saudi Arabia and the wider region.

The role will be responsible for identifying relevant opportunities, monitoring procurement portals, coordinating bid submissions, maintaining supplier registrations, and ensuring all tender activities are delivered accurately and on time.

This is a critical business development support role, enabling our team to focus on developing winning solutions while ensuring no commercial opportunity is missed.

This position is ideal for someone who enjoys bringing structure to complex processes and takes pride in delivering high-quality work under tight deadlines. The successful candidate will play a central role in helping the business identify and secure new opportunities across Saudi Arabia's rapidly growing public and private sectors.

KEY ROLES AND RESPONSIBILITIES:

Opportunity Management

Monitor procurement portals and supplier platforms daily for new opportunities.
Identify relevant RFIs, EOIs, RFQs and RFPs aligned to the company's services.
Produce concise opportunity summaries, including scope, deadlines, eligibility requirements and recommendations.
Maintain an up-to-date pipeline of all active opportunities.

Procurement Portal Administration

Manage supplier registrations and company profiles across procurement platforms, including:

Etimad
Aramco
NEOM
ROSHN
Diriyah Company
Qiddiya
Red Sea Global
Mushama (PIF Portfolio Company platform)
Other public and private sector procurement platforms

Responsibilities include:

Maintaining company information
Updating certifications and licences
Managing user access
Renewing registrations
Tracking portal compliance requirements

Bid Coordination

Coordinate the end-to-end submission process by:

Downloading and organising tender documentation
Creating submission plans and timelines
Coordinating inputs from internal teams
Tracking clarification deadlines
Preparing submission checklists
Managing document formatting and quality assurance
Uploading submissions through procurement portals
Confirming successful submission

Document Management

Maintain a central library of company information, including:

Company profile
Corporate presentations
CVs
Project credentials
Commercial Registration
VAT Certificate
ZATCA documentation
ISO certifications
Policies and compliance documents

Ensure all information remains current and readily available for tender submissions.

Reporting

Produce regular reports covering:

New opportunities identified
Active bids
Submission deadlines
Bid outcomes
Win/loss statistics
Upcoming renewals
Portal registration status

SPECIAL SKILLS/EXPERIENCE/APTITUDES NEEDED:

Essential

Experience supporting tenders, proposals or procurement activities.
Excellent organisational and project coordination skills.
Strong attention to detail.
Ability to manage multiple deadlines simultaneously.
Excellent written English & Arabic.
Advanced Microsoft Office skills.
Experience working with procurement portals or supplier registration platforms.

Desirable

Experience using Etimad or major Saudi procurement platforms.
Experience with SAP Ariba, Oracle, Coupa or Jaggaer.
Experience supporting consulting, marketing, events or professional services businesses.

SALARY AND BENEFITS:

Competitive Salary
Annual Discretionary Company Bonus – up to 8% - 3% Company & 5% Individual
33 days annual leave (+ public holidays), pro-rated
Working hours will be from 09.00 to 17.30 Sunday to Thursday with an hour taken for lunch between 12.00 and 14.00
