About the Role
The Operations Manager is the operational backbone of Tandem Advisors, keeping the day-to-day running of the firm organized, efficient, and on track. This role touches nearly every part of the business—accounting, client communications, and office administration. The right person for this role is highly organized, comfortable switching between tasks, and takes real ownership of their responsibilities. They work closely with the managing partner and support the broader team, and they take pride in making sure nothing falls through the cracks.
This is a mid-level individual contributor role, well-suited to someone with a few years of experience in office or operations management who is ready to take on meaningful responsibility in a small, close-knit professional services environment.

Key Responsibilities:
Accounting & Financial Operations
Process and record daily financial transactions in QuickBooks, including deposits, accounts payable, and credit card entries
Set up and manage bill payment through Bill.com; sync to QuickBooks weekly
Reconcile bank accounts and credit card statements monthly
Manage accounts receivable, prepare billing reminders, and send client statements
Support year-end processes, including journal entries, 1099 preparation, and deferred revenue adjustments
Human Resources
Serve as the onsite HR liaison for Tandem staff
Coordinate with Human Resources Team for HR guidance and support
Manage the onsite onboarding process for new employees
Conduct exit interviews and manage the onsite offboarding process
Support recruiting efforts, including coordination with candidates and onsite job fairs
Office & Administrative Management
Manage administrative team and processes, including client onboarding, billing support, and client communications
Facilitate Partner meetings, including setting agendas, soliciting additional topics from partners, and keeping discussions on track; provide regular reporting on banking and A/R status, EFIN monitoring, and HR/IT issues
Lead the firm's Tech Team, convening during the summer to troubleshoot and evaluate challenges from the prior busy season, propose process and software improvements to partners, and oversee training and implementation of approved changes
Manage administrative aspects of client projects in practice management software, including engagement letters, e-file forms, project assignments, and return delivery
Lead weekly staff meetings, including agenda preparation and facilitation
Act as the central point of communication for the firm, facilitating effective information flow between partners, employees, and clients
Serve as primary contact for vendor billing
Coordinate with the IT service provider to ensure technology systems and software are optimized (e.g. ordering equipment, overseeing software renewal, troubleshooting, etc.)
Maintain firm registrations, licenses, and annual compliance filings (e.g., state corporate renewal, personal property tax return)
Coordinate workers compensation audit
Communications & Culture
Lead internal communications, including all-staff announcements and updates on behalf of firm leadership
Work with Marketing Team to support brand management and firm marketing materials, including the firm's online presence (website, LinkedIn, Google, and other platforms)
Champion firm culture through recognition programs, milestone celebrations, seasonal events, and engagement of remote employees
Required Skills:
2–4 years of experience in office management, operations, or a similar role
Proficiency in QuickBooks and Microsoft Office (Word, Excel, Outlook)
Strong organizational skills and attention to detail
Demonstrated ability to manage multiple responsibilities with competing priorities
Clear, professional written and verbal communication skills
Comfortable working in a small-team environment with a high degree of autonomy
Preferred Skills:
Experience in a professional services or accounting firm environment
Familiarity with ADP, Bill.com, or similar payroll and accounts payable platforms
Experience with HR processes, including onboarding and offboarding
Associate's or Bachelor's degree in business, accounting, or a related field
