The Campus Administrator, at The Potter's House, plays a vital role in supporting transformational programming and operations. This individual provides key administrative support to the Campus Director and ensures smooth execution of daily, weekly, and monthly activities across a dynamic environment serving men in long-term recovery.
Essential Duties and Responsibilities
Provides administrative support to several leaders and works with employees at all levels to complete projects of a complex and confidential nature
Receives and responds to routine correspondence following established procedures not requiring management review
Coordinates activities between departments and outside parties
Assists with Client management
Maintains petty cash, disburse funds as approved while keeping accurate records and documentation
Orders, monitors and disperses office supplies
Tracks client progress within client database including intake, assignments, level changes, discharges, class attendance, and progression.
Responds to inquiries or complaints from clients, volunteers, agencies, or business community
Sends weekly schedule of classes and meetings via email
Monitors the approved movers schedule to ensure client progress
Coordinate team meetings, and take notes and share with the team to ensure everyone stays on task
Coordinates ongoing development and scheduling of 8 week rotation of classes and produces weekly schedule and updates Salesforce for attendance tracking

Position Requirements
Strong computer literacy, especially in MS Office and scheduling platforms
Experience managing calendars, internal communications, and administrative systems
Detail-oriented with exceptional organizational and time management skills
Excellent verbal and written communication abilities
Strong interpersonal skills, with the ability to maintain professionalism and boundaries in a high-energy male shelter environment
Demonstrated ability to manage multiple priorities and remain calm under pressure
Tech savvy and resourceful; able to work independently and as part of a team
Previous experience in fast-paced, human services or ministry settings preferred
Crisis intervention training or certification – preferred
Valid driver’s license and clean MVR (required for driving company vehicles)
Occasional evening and weekend availability required

Must have the ability to remain in a stationary position (standing, sitting, and/or walking)
Must have the ability to stoop, kneel, crouch, or crawl
Must be able to ascend/descend stairs occasionally
Must be able to distinguish or determine smell
Must have the ability to constantly operate a computer and other office equipment, such as a copy machine, calculator and computer printer
Must be able to communicate accurate information
Must be able to lift up to 25lbs occasionally
Must have peripheral vision, depth perception, and ability to adjust focus
