Position Overview

NewSchool of Architecture & Design is seeking a detail-oriented and analytical Admission Operation Specialist to support the administrative and operational functions of the Admissions Office. This role is ideal for individuals who enjoy working with data, records, academic documents, and cross-functional teams.

Rather than a recruitment or sales-focused position, this role focuses on application processing, transcript evaluation, transfer credit administration, admissions compliance, and student records management. The Admission Specialist works closely with faculty, department chairs, deans, and administrative staff to ensure accurate and timely admissions decisions.

Key Responsibilities

  • Review and process admission applications in accordance with institutional policies and requirements.
  • Evaluate academic transcripts and determine course and degree equivalencies.
  • Prepare and maintain Transfer of Credit (TOC) evaluations and records.
  • Enter, update, and audit student information within the Student Information System (Anthology Student) and CRM platforms.
  • Coordinate with faculty, department chairs, and deans regarding portfolio reviews, admissions decisions, advanced placement requests, GPA appeals, and returning student evaluations.
  • Participate in Admissions Review Committee meetings and maintain accurate documentation of decisions.
  • Generate enrollment and admissions reports to support institutional planning and compliance requirements.
  • Maintain electronic student records and ensure data accuracy across multiple systems.
  • Support SEVP compliance activities as a Designated School Official (DSO) and Alternate Responsible Officer (ARO).
  • Assist with process improvement initiatives and operational projects within the Admissions Office.

Qualifications

  • Bachelor's degree required.
  • Strong attention to detail and ability to work accurately with large volumes of records and data.
  • Excellent organizational and time management skills.
  • Ability to analyze academic records and apply institutional policies consistently.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office, databases, and administrative systems.

Preferred Qualifications

  • Experience in higher education administration, registrar services, admissions operations, records management, compliance, customer service, or administrative support.
  • Experience using Student Information Systems (SIS), CRM platforms, or database management tools.
  • Familiarity with transfer credit evaluation, transcript review, or academic records processing.
  • Knowledge of SEVP regulations and international student compliance is a plus.

Why Join Us?

  • Gain hands-on experience in higher education operations and administration.
  • Develop expertise in admissions processing, academic records management, compliance, and institutional systems.
  • Work collaboratively with faculty, academic leadership, and administrative teams.
  • Build highly transferable skills in data management, policy interpretation, operational processes, and higher education administration.
