Operations Support Specialist at Ahola
The Operations Support Specialist reports to the Director of Operations and provides support to the Operations Department, including the Year-End team. This role partners with Operations leadership and senior team members to support client activities, process payroll-related tasks, complete projects, and ensure exceptional service delivery. This position provides hands-on experience in payroll operations, HCM systems, and client support while serving as a development path toward a future Client Success Partner role.
What You'll Do as Operations Support Specialist at Ahola
- Provide professional phone and email support to clients, assisting with questions, requests, and general payroll-related needs.
- Process payrolls, payroll adjustments, and client account maintenance activities accurately and efficiently across varying levels of client accounts.
- Learn and develop proficiency in payroll system configurations, including client accruals, retirement plans, and other account setups.
- Research, troubleshoot, and resolve client inquiries while meeting established service expectations and deadlines.
- Review, audit, and validate payroll reports to ensure accuracy, completeness, and compliance.
- Create standard and customized reports using reporting tools while performing appropriate testing and validation.
- Support year-end payroll activities, including W-2 reprints, report reprints, Social Security number corrections, and other assigned projects.
- Utilize CRM and payroll systems to document client interactions, maintain accurate records, and support operational processes.
- Cross-train within the Operations and Distribution teams to gain a broad understanding of payroll processes, systems, and client support functions.
- Participate in a structured development path designed to build the knowledge and skills necessary for future advancement into the Client Success Partner role.
- Assist Operations leadership and senior team members with departmental initiatives, special projects, and process improvements.
- Collaborate with internal teams to support client needs and promote operational efficiency.
- Complete required training and ongoing professional development to expand knowledge of payroll, HCM technology, company products, and industry best practices.
- Maintain confidentiality of client and company information while building positive, professional relationships with clients and colleagues.
- Manage multiple priorities in a fast-paced environment while communicating progress, challenges, and opportunities to Operations leadership.
The Experience You'll Need
- High school diploma or equivalent required; payroll, HCM, or related industry experience preferred.
- Experience with payroll processing and/or HCM software platforms required; iSolved experience preferred.

- Ability to maintain confidentiality and exercise discretion when handling sensitive client and company information.
