Position Summary

The Assistant Community Manager supports the Community Manager in the day-to-day operation of Providence at McDowell. This role owns the financial side of the office — rent collection, delinquency, resident ledgers, and reporting — while also carrying a leasing and renewal goal and serving as second-in-command when the Community Manager is off-site.

Success in this role looks like clean books, low delinquency, a full property, and residents who feel taken care of.

Key Responsibilities

Financial & Administrative

  • Post rent payments, process daily deposits, and maintain accurate resident ledgers
  • Manage the delinquency process end to end: late notices, statutory notices under the Arizona Residential Landlord and Tenant Act, payment plans, resident outreach, and coordination with legal counsel on evictions and writs
  • Prepare and review weekly and monthly reports (occupancy, leasing/renewal activity, delinquency, budget variance)
  • Assist with invoice coding, purchase orders, and budget tracking
  • Complete move-in and move-out accounting, including security deposit dispositions within Arizona's statutory timeframe and damage billing
  • Maintain accurate, complete resident files in compliance with company policy and Fair Housing law

Leasing & Marketing

  • Carry an individual leasing and renewal goal
  • Conduct tours, follow up on leads, and close applications
  • Manage the application-to-lease pipeline: income and credit screening, verification, lease generation, and signature collection
  • Execute renewal campaigns, rent increases, and resident retention outreach
  • Assist with social media content, resident referral programs, outreach events, and competitor market surveys

Resident Relations

  • Serve as an escalation point for resident concerns; resolve issues promptly and document outcomes
  • Coordinate resident events and community programming
  • Support lease violation documentation, notices to cure, and neighbor conflict resolution
  • Maintain a visible, approachable presence in the leasing office and throughout the community

Operations & Team Support

  • Assist with unit turns: inspections, vendor scheduling, punch walks, and move-in readiness
  • Help hire, train, and schedule leasing and office staff
  • Assume Community Manager duties in their absence
  • Participate in the on-call rotation for after-hours emergencies
  • Walk the property regularly to identify curb appeal, safety, and maintenance issues

Qualifications

Required

  • High school diploma or equivalent
  • 1+ years of experience in property management, leasing, hospitality, retail, or a comparable customer-facing role
  • Strong math skills and attention to detail; comfort with ledgers, spreadsheets, and reconciliation
  • Excellent written and verbal communication skills
  • Ability to work weekends and extended hours during peak leasing and turn seasons
  • Valid driver's license and reliable transportation

Preferred

  • Prior multifamily property management experience, including collections and evictions
  • Working knowledge of Yardi, Entrata, RealPage, or comparable property management software
  • Familiarity with the Arizona Residential Landlord and Tenant Act and Fair Housing requirements
  • Bilingual (English/Spanish)

  • Follow-through — closes loops on maintenance requests, applications, and collections
  • Team orientation — willing to jump on a tour, walk a unit, or cover the desk

Physical Requirements

Must be able to walk the property multiple times daily, including stairs; occasionally lift up to 25 lbs; sit or stand for extended periods; and work outdoors in Arizona summer heat during turns and outreach events.
