Position Summary

We are looking for an Administrative Affairs and Puschasing Responsible

 to join our team and ensure the smooth and efficient running of office operations.

This role is responsible for managing procurement processes, coordinating office services, and supporting day-to-day administrative operations. The ideal candidate will be highly organised, proactive, and capable of managing multiple vendors, services, and operational needs in a fast-paced environment.

Job Responsibilities

• Manage end-to-end office procurement processes, including collecting quotations and negotiating with suppliers.
• Ensure timely sourcing and supply of office consumables, equipment, and services.
• Maintain and track supplier contracts, pricing agreements, and purchase records.
• Coordinate company vehicles, courier services, shipments, and transportation arrangements.
• Liaise with building management and ensure timely resolution of facility maintenance and technical issues.
• Oversee the smooth operation of office services including cleaning, security, catering, meals, and other support services.
• Manage office space organization, workstations, and shared/common area operational needs.
• Maintain asset registers and inventory records, and prepare relevant reports.
• Support travel, accommodation, and internal event coordination processes.
• Monitor administrative budgets and expenses, ensuring invoice control and accuracy.
• Coordinate with public institutions, service providers, and vendors for operational requirements.
• Provide day-to-day operational support to employees and ensure uninterrupted office functionality.

Requirements

• Previous experience in office administration, procurement, facilities management, or a similar operational role.
• Strong organisational and multitasking skills with attention to detail.
• Experience managing suppliers, contracts, and service providers.
• Ability to handle budgets, invoices, and administrative documentation.
• Strong communication and coordination skills.
• Proficiency in Microsoft Office tools.
• Proactive, reliable, and service-oriented mindset.
• Ability to work independently and manage multiple operational priorities.
• English proficiency required; additional languages are a plus.
