The Legal Administrative Assistant will provide administrative and organizational assistance to the Managing Counsel and Law Clerk and will be responsible for the day-to-day support and regulatory tasks within the Legal & Compliance Department.

Position Functions:

  • Contract approval process management
  • Assisting with records retention management
  • Assisting with preparing power point presentations for legal training and compliance
  • Liaising with third parties to gather information
  • Accurately prepare legal documents and correspondence
  • Organizing and expediting flow of work, initiating any follow-up as appropriate
  • Working proactively in the day-to-day support of Managing Counsel and Law Clerk including file maintenance, reminder system and managing expense reports
  • Using initiative and good judgment to relieve Managing Counsel and Law Clerk of administrative tasks
  • Other duties as assigned by professionals

Minimum Qualifications & Competencies:

  • 3-5 years of experience working in a legal or similar environment
  • Legal or Administrative Diploma / Certificate
  • Excellent computer skills in MS Office Suite (Word, Excel, PowerPoint and Outlook)
  • Excellent verbal and written communication skills
  • Excellent time management and organizational skills
  • Enthusiastic, proactive, can-do attitude; with the ability to multi-task in response to changing priorities throughout the day
  • Sound business judgment including the ability to handle sensitive and confidential information
  • Strong attention to detail and desire to provide a high degree of accuracy in work product
  • Motivated and resourceful, with the ability to take initiative, work independently and in a team setting
  • Eagerness to learn and develop skills
  • The following qualifications would be considered an asset:
  • Regulatory / Insurance background
  • Bilingual (English and French)
  • Experience in the Automotive industry
  • Experience with SAP Concur system
