SUMMARY: The Billing and Administration Coordinator organizes and coordinates office administration and procedures to ensure organizational effectiveness, efficiency, and compliance. The role provides effective intra-office communication and streamlined administrative processes with primary focus on Aramco SAP/billing coordination, logistics documentation

ESSENTIAL DUTIES: 

• Coordinates and is responsible for the Aramco SAP system, including Drilling Rig Supply System (DRSS), ensuring requests are sent to the sales team in a timely and efficient manner; coordinates with the logistics team and manages renewal of the Aramco Portal. (detailed task list provided)
• Assists the accounts department to ensure the timely coordination of documents and invoice to ensure that receivables are updated on a weekly basis.
• Coordinates with the logistics team to ensure internal and external documentation is managed in a timely manner so shipments are delivered on schedule.
• Solely responsible for Visa and Iqama renewals for the KSA employee base; maintains accurate records of medical coverage, annual travel, vacation, and company vehicle assignments.
• Performs other duties and participates in special projects as assigned.

MINIMUM REQUIREMENTS

• Coordinate with and oversee outside providers

• Exercise integrity and discretion in handling confidential information
• Demonstrate proficiency in Excel and department financial software
• Read, write, and communicate accurately, clearly, and concisely in English and Arabic

Education, Knowledge & Experience: 

• High school diploma required; bachelor’s degree in business administration, Accounting, or Supply Chain preferred.
• Understanding of Saudi invoicing and tax regulations.
• 2–3 years of experience as an Administrator or Coordinator.
