People & Operations Manager
Full-time - London (Hybrid)
We are looking for a dynamic andhands-on People & Operations Manager to join our growing team. This is a wide-ranging role at the heart of how our organisation runs. Covering everything from HR and compliance to facilities, IT, and events. You will be the connective tissue across our business and teams, keeping things running smoothly, keeping our people supported, and ensuring we stay compliant and well-organised.
This role suits someone who thrives on variety, takes ownership, and is equally comfortable managing HR contracts one hour and troubleshooting an issue the next. You will work closely with senior leadership and have real impact from day one.

Key Responsibilities
People & HR
- Work with Directors to help design and create employee engagement across all clinics
- Own onboarding and offboarding processes for all staff (clinical and non-clinical)
- Prepare and manage HR contracts for all staff via BambooHR, ensuring ongoing legal compliance vis policy and procedures are followed
- Write and post job adverts; support Clinical Director with recruitment activity through BambooHR
- Ensure all staff have all the necessary qualifications e.g. clinician registrations, renewals, right to work and DBS applications etc.
- Maintain BambooHR with up-to-date records, accurate sickness and absence records for all staff
- Liaise with the Finance Director on payroll changes, as and when required
- Manage and support the reception team through regular one-to-ones, target-setting and performance management
- Provide admin cover at our Bank clinic during periods of sickness or annual leave
Clinical Operations
- Support Clinical Leads and Clinical Director with clinical staff rota management, including opening and closing schedules and diary clash resolution
- Coordinate new and closing room set-up and clinical equipment management across all sites
Compliance & Health and Safety
- Own and manage the full compliance calendar across all sites, including: PAT testing, music licence, ICO registration, sharps waste, fixed wiring tests, COSHH, DSE assessments, electrical equipment checks, fire risk assessments, legionella testing, first aid assessments, infection control, and cleaning schedules
- Handle patient complaints in a timely and professional manner
- Act as the organisation’s appointed Data Protection Officer
Facilities & IT
- Manage storage unit logistics, including organising removals between sites if required
- Coordinate set up of computers and workstations with Clinical Leads at all locations
- Maintain facilities logs and oversee clinic maintenance across all sites
Marketing & Reporting
- Manage Mailchimp patient surveys, distributing fortnightly to management team
- Run NPS surveys via BambooHR automation; chase staff completion and share results with the management group
- Organise membership cards and coordinate photoshoots for clinical staff
Events & Administration
- Organise all quarterly meetings, socials and management meetings — including coordinating diaries, chasing presentations, taking minutes and distributing them to the team
- Provide weekly check-ins and reporting support to senior leadership
Operations
- Support annual leave planning in partnership with clinic leads to assess impact before leave is approved
- Monitor diaries across the business to ensure scheduling integrity is maintained
- Support engagement and alignment of remote workers across the organisation
What We’re Looking For
- Experience in an HR, people operations or office management role, ideally in a healthcare or multi-site environment
- Confident working with an HRIS — experience with BambooHR is a strong advantage
- Working knowledge of HR compliance, employment law basics and health and safety requirements
- Experience handling DBS applications and regulated professional registrations is desirable
- Strong organisational skills with the ability to manage multiple priorities across different areas simultaneously
- A natural problem-solver who takes initiative and follows through
- Confident communicator, comfortable working with clinical staff, management and external suppliers
- Comfortable with IT; able to support colleagues with basic technical issues
- Ability to start immediately will be an advantage
