About the Role

The Development Services Administrator is a full-time role responsible for supporting general organization communication, donor services, database administration, reporting, supporter correspondence, and operational processes within the Development Department. This position plays a critical role in responding to external inquiries, maintaining the accuracy of donor records, supporting fundraising operations, facilitating donor communications, and ensuring the efficient execution of administrative functions that support the organization's growth and stewardship efforts.

Working closely with the Development Operations Manager, the Development Services Administrator will oversee inbound and outbound communication, donor account maintenance, process supporter requests, manage correspondence and mail operations, assist with reporting initiatives, and maintain the integrity of donor and supporter data across multiple systems. The ideal candidate is highly organized, enjoys communicating with people, detail-oriented, and capable of managing multiple priorities while maintaining a high level of accuracy and professionalism.

This position requires strong administrative skills, excellent written and oral communication, discretion when handling confidential donor information, and a commitment to delivering exceptional service to supporters and stakeholders.

Key Responsibilities:

Donor Services & Supporter Relations (45%)

  • Serve as a primary point of contact for donor and supporter inquiries via email and written correspondence.
  • Assist donors and supporters with account updates, recurring gift modifications, address changes, and general inquiries.
  • Coordinate donor acknowledgments and stewardship communications.
  • Provide accurate information regarding organizational initiatives, events, and donor-related matters.
  • Ensure timely follow-up and resolution of supporter requests while maintaining a professional and service-oriented experience.

Database Administration & Reporting (40%)

  • Maintain accurate donor and supporter records within CRM and fundraising systems.
  • Process donor account updates, recurring gift changes, constituent record maintenance, and data corrections.
  • Conduct routine database audits to ensure data integrity, consistency, and accuracy.
  • Generate recurring and ad hoc reports related to donor activity, fundraising performance, and operational metrics.
  • Assist with data imports, exports, segmentation projects, and database cleanup initiatives.
  • Document supporter interactions and maintain detailed records of completed tasks and communications.
  • Uphold confidentiality standards and ensure proper stewardship of sensitive donor information.

Administrative & Mail Operations (15%)

  • Manage incoming and outgoing mail, including donor correspondence, acknowledgments, receipts, and department communications.
  • Assist with gift processing documentation and related administrative workflows.
  • Maintain organized digital and physical filing systems.
  • Support department-wide projects and operational initiatives as assigned.
  • Coordinate administrative processes that contribute to the efficiency and effectiveness of Development operations.
  • Provide administrative support to the Development Operations Manager and Development leadership as needed.

Minimum Qualifications:

  • Excellent written and verbal communication skills.
  • Strong attention to detail and commitment to data accuracy.
  • Experience in administrative support, donor services, customer service, nonprofit operations, or database management preferred.
  • Proficiency with Google Workspace, or similar platforms, and familiarity with CRM systems, donor databases, Airtable, HubSpot, or similar platforms.
  • Strong organizational and time-management skills with the ability to manage multiple priorities independently.
  • Ability to handle confidential information with professionalism and discretion.
  • Demonstrates initiative, reliability, and a strong work ethic.
  • Ability to receive feedback and adapt in a fast-paced environment.
  • Passion for the mission of TPUSA, conservative ideals, and principles.
  • Ability to sit and stand for extended periods and safely lift up to 35 lbs.
  • Valid driver's license, reliable transportation, proof of insurance, and ability to travel as needed.
