The coordinator manages the front desk by welcoming clients, handling phone and email communications, and coordinating schedules for academic coaches. Additionally, they perform administrative tasks, maintain office cleanliness, and proctor standardized exams.
Candidates must have a friendly demeanor, strong communication skills, and exceptional organizational abilities. Reliable transportation is required, and knowledge of social media is preferred.
We are looking for a vibrant part-time Front Desk Coordinator to work with our Director at our Katy Freeway location (I-10 and Campbell Rd).
Responsibilities
Graciously welcome parents and students when they arrive at the office.
Answer the phone to take messages for the Office Manager or Director to attend to during the following day. Check email periodically for any scheduling-related emails that come in during the evenings and/or weekends; update academic coaches on time-sensitive changes to their schedules.
Assist the Office Manager or Director with administrative tasks, including keeping the office organized and clean and maintaining inventory of our textbooks, supplies, and snacks; ensuring that the office is tidy at the end of each day; completing light cleaning as needed (such as wiping down desks, vacuuming, emptying trash bins).
Update spreadsheets as needed to track student hours/attendance.
Check the weekly session calendar on our scheduling system to ensure no double bookings for clients or Academic Coaches. Utilize scheduling software to update Coach calendars to reflect any time-sensitive changes.
Assemble welcome bags/gift bags for new students and/or for special occasions such as holidays or before major tests.
Proctor practice ACT, SAT, and/or ISEE exams on Sunday mornings during the school year; grade and scan tests.
Assist with The Enrichery’s social media posts by providing photos/content as requested.
Create employee profiles on a Canva template for new employees to be added to our website.
Train new hires for the same position for other locations as needed (typically only once or twice a semester).
Friendly demeanor with strong communication skills; comfortable talking to clients on the phone.
Exceptional time management and organizational skills.
Social media knowledge is preferred but not required.
